Job Description

Master Legal Communications and Data: Join Our Client s Dynamic Team!

As a Communications and Data Entry Specialist you will manage tasks in two critical areas: Inbox and Communications and Data Entry and Accuracy. Each day youll be assigned to either group ensuring you meet volume quality and timeliness expectations. Your role is vital in helping our client meet its legal obligations while delighting partners and stakeholders. With a daily target of completing 100 units of work tasks will vary in complexity ranging from 1.4 to 8.2 units per task. Join us and thrive both professionally and personally!

Making an Impact

Inbox and Comms:

  • Review incoming emails and files to determine their relevance to specific legal matters.
  • Utilize knowledge of legal documentation and case details to accurately allocate emails and files to the appropriate legal matter.
  • Collaborate with legal teams to gather additional information if needed for proper allocation.
  • Maintain a high level of accuracy and efficiency in the allocation process.
  • Escalate to a manager only when unable to determine the appropriate legal matter ensuring escalation is required for fewer than 5% of emails or files.
  • Develop and maintain a comprehensive understanding of the legal matters handled by the firm.

Data Entry and Accuracy:

  • Accurately input and update data into the company database following established procedures and guidelines.
  • Perform data verification and validation to ensure data accuracy and completeness.
  • Regularly review and audit data for errors or inconsistencies and rectify as needed.
  • Collaborate with other departments to gather and organize data from various sources.
  • Assist in the development and maintenance of data entry processes and procedures.
  • Generate reports and summaries from the database as requested.
  • Maintain confidentiality and security of sensitive information.

Team Overview: Support Services is a new team within Lawlab and is responsible for all administrative components of residential conveyancing matters within the business. These functions are critical to the efficient operations of Lawlab and are a key driver of Lawlab s strategy.

Support Services covers some or all the functions of:

  • Intros
  • Inbox Management
  • Searches and Contracts
  • Postexchange
  • File Establishment and Support
  • Settlement Advisory
  • These functions have been divided into three groups of tasks with distinct skills:

Data Entry and Accuracy:

  • Accurately transpose data from one source to another including Instruction sheet to Launch ELNO workspace creation and document generation and checking.

Figures and Invoicing:

  • Manipulate and calculate numbers including drafting settlement figures generating invoices for clients inputting figures to ELNO and confirming settlement figures from OSS.

Inbox and Comms:

  • Manage inboxes and draft Rundl posts requiring higher levels of languagebased logic.

Skills and Experience

  • Previous experience (3 to 5 years) in legal administration or data entry within a legal setting (ideally supporting an AU Insurance Financial Planning Conveyancing or Mortgage Broking business).
  • Highest level of written English comprehension and drafting.
  • Solid logical reasoning and problemsolving skills.
  • Highest levels of English proficiency (written and spoken).
  • Exceptional attention to detail and the ability to analyze information critically.
  • Effective communication skills (customer service background) to collaborate with legal teams and escalate issues when necessary.
  • Proficiency in relevant software/tools used for legal matter management and MS Outlook.
  • Understanding of legal documentation and case management processes.

Key Metrics

Inbox and Comms:

  • Accuracy: Maintain a 98% or higher accuracy rate in allocating emails and files to specific legal matters.
  • Efficiency: Process and allocate a minimum of specific number emails or files per day meeting or exceeding established targets.
  • Escalation Rate: Ensure that escalation to a manager is required for fewer than 5% of emails or files.

Data Entry and Accuracy:

  • Volume: Achieve a daily volume target of 100 units of work ensuring high productivity without compromising accuracy.
  • Quality: Maintain a data accuracy rate of 98% or higher across all tasks measured weekly and monthly.
  • Timeliness: Ensure 100% adherence to established timelines per task. See Schedule A for the timeline per task.
