Job Description

Job Title: Workshop Manager

Location: Nairobi Kenya

Salary Range: Kshs.

We specialize in providing topnotch automotive services and products to our esteemed clients. We are seeking a dynamic and experienced Workshop Manager to oversee and manage all operations within our workshop and ensure the highest levels of customer satisfaction and operational efficiency.

Job Summary: The Workshop Manager will be responsible for managing the daytoday operations of the workshop ensuring timely and quality service delivery. This role involves overseeing the technical team maintaining equipment managing customer relations and ensuring compliance with safety and operational standards. The ideal candidate will have demonstrable experience in operations and coordinating various activities within a workshop setting.

  1. Operational Management:

Oversee daily workshop operations ensuring all maintenance repair and service activities are completed on time and to a high standard.

Develop and implement standard operating procedures (SOPs) for workshop activities.

Ensure installation timelines are complied with.

Take pre and post checklist of all vehicles that come.

Create job cards for each job.


  1. Team Leadership and Development:

Lead mentor and develop the workshop team fostering a culture of excellence and continuous improvement.

Manage the technical team ensuring they have the necessary skills and training.

Conduct regular performance reviews provide feedback and identify training needs for team members.

  1. Work Planning and Scheduling:

Plan and schedule work assignments ensuring optimal use of resources and timely completion of jobs.

Coordinate with other departments to prioritize and align workshop activities with overall business objectives.

  1. Quality Control and Assurance:

Implement quality control processes to ensure all work meets the required standards and specifications.

Conduct regular inspections and audits to maintain high quality and compliance with industry standards.

Perform quality of work checks regularly.

  1. Health and Safety Management:

Ensure compliance with health safety and environmental regulations in the workshop.

Develop and enforce safety protocols conducting regular safety training for the workshop team.

  1. Customer Service:

Ensure high levels of customer satisfaction by delivering quality workmanship and timely service.

Take clients through the product when they come to the workshop.

Address customer complaints and issues promptly and effectively maintaining strong customer relationships.

Act as the point of contact for clients when work is ongoing.

Manage customer service upselling and crossselling efforts.

  1. Inventory and Supply Management:

Manage inventory levels of parts tools and equipment ensuring availability and minimizing downtime.

Coordinate with suppliers to source quality parts and materials at competitive prices.

  1. Equipment Maintenance:

Oversee the maintenance and repair of workshop equipment ensuring all tools and machinery are in good working condition.

Implement a preventive maintenance program to reduce equipment breakdowns and extend the lifespan of assets.

Manage the service management and maintenance of machines.

  1. Tools Management:

Oversee the issuance usage and storage of tools in the workshop.

Ensure all tools are maintained in good condition and calibrated as necessary.

Track tool inventory and ensure any lost or damaged tools are reported and replaced.

Implement a tool checkin/checkout system to monitor tool usage and prevent loss or misuse.

Provide training on proper tool usage and safety protocols.

  1. Budgeting and Cost Control:

Prepare and manage the workshop budget ensuring costeffective operations.

Monitor expenses and implement costsaving measures without compromising on quality and safety.

  1. Reporting and Documentation:

Maintain accurate records of all workshop activities including work orders job cards and inventory logs.

Prepare regular reports on workshop performance highlighting key metrics and areas for improvement.

  1. Vendor and Supplier Management:

Manage relationships with external vendors and suppliers negotiating contracts and ensuring quality and timely delivery of parts and materials.

Evaluate vendor performance and seek opportunities for cost reduction and quality improvement.

  1. Customer Feedback and Improvement:

Implement a system for collecting and analyzing customer feedback.

Use feedback to improve service quality address recurring issues and enhance customer satisfaction.

  1. Compliance and Certification:

Ensure all workshop activities comply with relevant laws regulations and industry standards.

Maintain necessary certifications and licenses for workshop operations and personnel.

  1. Workshop and Compound Cleanliness:

Ensure the cleanliness and organization of the workshop and surrounding compound.

Implement housekeeping standards and practices to maintain a safe and tidy working environment.

  1. Collaboration with Accounts:

Work closely with the accounts department to raise quotes and ensure accurate billing.

Monitor financial transactions related to workshop operations.

  1. Complaints Management and Escalation:

Manage and resolve customer complaints efficiently.

Escalate unresolved issues to higher management when necessary.



Requirements

Key Qualifications:

Proven experience in a workshop management or similar role.

Strong leadership and team management skills.

Excellent customer service and communication abilities.

Solid understanding of automotive services and repair processes.

Ability to manage multiple projects and prioritize tasks effectively.

Proficiency in using workshop management software and tools.

Strong problemsolving skills and attention to detail.
