Job Description

This is a remote position.

We are seeking a highly skilled and organized Medical Coordinator to join our team. As a Medical Coordinator, you will be responsible for managing and coordinating medical services, working closely with doctors, lawyers, allied health professionals, and other stakeholders. The ideal candidate will have excellent communication skills in English, as well as a strong understanding of medical terminology and specialties.


Job Responsibilities

  • Liaising with doctors to collect range of collateral such as CVs, redacted reports and consent forms.
  • Doctor information gathering to facilitate the development of marketing materials.
  • Developing initial draft materials to be used for marketing purposes: one page bios, updating, formatting and restructuring CVs, writing copy for doctors' web pages.
  • Medicolegal report redaction.
  • Compiling a database of doctors and their associated materials into a shared folder and communicating with referrers via email to provide access to shared folder.
  • Managing ongoing accreditation and approval requirements on behalf of doctors. This may include completing official forms/documents; checking Australian registration and accreditation websites; email liaison with regulators, VIN applications, and updating internal records to reflect outcomes.
  • Setting up telehealth accounts and scheduling Audio-Visual links (AVLs) with the Justice Health Department and communicating links to all relevant parties.
  • Creating, updating, appropriately naming, and storing medical assets (including flyers, CVs and identified reports) that can be used by sales or marketing team to promote doctors.
  • Preparing and uploading doctors' report and invoice templates, and other platform and doctor-specific templates onto the MEDirect practice manage system.
  • Scheduling, booking and providing appointment lists to medical consulting rooms, including for hybrid-assessments.
  • Tracking of doctors' first booking and sending pre-appointment email.
  • Providing administration support to the doctor onboarding team.


Requirements

  • Strong English communication skills both verbal and written.
  • Understanding of medical terminologies and specialties
  • Advanced MS Outlook, Word and Excel skills
  • Strong competency in using a CRM
  • Ability to pick up new apps and software such as ZOHO
  • With initiative and problem solving skills
  • High level attention to detail
