Schedule:

  1. Monday to Friday
  2. 8:30am to 5pm Central (9:30 PM to 6:00 AM PHT)with an hour unpaid break (37.5 hours per week)

Louisiana Branch Administrative Assistant Job Description

Responsibilities

A. Daily Data Entry of Billable Time in Omega

  1. Data entry of billable time entries in Omega training to be provided. You will receive information for billable hours and you will enter that information in the Omega time and billing software platform for Blue Williams timekeepers. Multiple attorneys will be sending you timesheets for data entry of their billable time in Omega.

  2. Each Blue Williams attorney will prepare a form similar to what is shown in the following pages. Each attorney s form will include: a. Billable time entries showing the attorney name initials billing number and billing dates and narrative descriptions for all billable time entries; b. The updated file list for the attorney providing the time sheets; c. A listing of commonlyused task codes for that attorney.

  3. This task requires that the virtual assistant do the following: a. Login to Omega b. For each time sheet provided c. Enter the correct attorney billing number/name d. Enter the billing entry date billable hours and narrative description provided by the attorney e. Identify the file number using the name/file information provided by the attorney f. Enter the corresponding task code for that attorney g. Submit the billing entry in Omega.


Requirements
  1. Education and Experience

    • High school diploma or equivalent required; associates or bachelors degree preferred.
    • Previous experience in data entry administrative support or legal assistance preferred.
    • Familiarity with time and billing software especially Omega is a plus.
  2. Skills and Competencies

    • Proficient in Microsoft Office Suite (Word Excel Outlook).
    • Excellent typing speed and accuracy.
    • Strong attention to detail and organizational skills.
    • Ability to handle multiple tasks and prioritize effectively.
    • Good communication skills both written and verbal.
  3. Technical Proficiency

    • Ability to learn and adapt to new software and technology quickly.
    • Comfortable navigating and entering data into complex systems.
  4. Work Environment

    • Must have a reliable internet connection and a quiet professional workspace.
    • Ability to work independently and manage time efficiently in a remote setting.
  5. Personal Attributes

    • High degree of integrity and professionalism.
    • Strong work ethic and commitment to maintaining confidentiality.
