Job Description

Borg Galea & Associates is currently welcoming applications from interested candidates for a fulltime Front Office Administrator to join our growing firm and manage our front desk duties. We would like to engage a smart and polite individual to be the first point of contact for our esteemed clients our professional team and to welcome our visitors.

Tasks

An Overview of What You will be Doing:

Greeting and welcoming clients visitors and suppliers with a positive and helpful approach.

Directing our clients and visitors to the appropriate person and office.

Handle the daytoday functioning of the reception area and the smooth running of the office such as by organising files and scheduling appointments.

Answering screening and transferring incoming phone calls as necessary.

Be the main point of contact to collect and process company mail and to ensure that registered mail is collected to be taken to the post office as scheduled.

Responsible to maintain a wellorganized and welcoming reception area.

Handle the bookings of boardrooms and training rooms for our team members and ensuring that all boardrooms and trainings rooms are wellkept and ready at all times.

Managing and ordering office marketing kitchen and cleaning supplies and keeping a stock inventory.

Receiving and sorting deliveries that are brought to the office from time to time.

Keeping updated records of office expenses and costs.

Performing administrative duties and supporting our audit accounting compliance and corporate departments.

Any other duties that might arise from time to time such as assisting with team building and company events the onboarding of new employees amongst others.

Requirements

  • A smart and neat appearance combined with a professional and polite attitude.
  • Already residing in Malta.
  • Previous experience in a previous administrative/front office role would be preferred. Preference will be given for work experience within the same industry.
  • A minimum of an Olevel education with passes in at least English and Maths. Applicants holding an Ordinary or Advanced level in Accounts and/or a Secretarial and Office Administration qualification will be given preference.
  • Excellent written and verbal communication skills in English and ideally also in German. Preference will be given to candidates with sound knowledge in both languages.
  • Professional phone skills and formidable customer service.
  • Proficiency in Microsoft Office applications mostly Word Excel and Outlook. An ECDL certification or an equivalent proof of computer literacy is advantageous.
  • Exceptional organisational and time management skills.
  • Punctuality and the ability to multitask and prioritise tasks under minimal supervision.
