Job Title: Lease Administrator

Schedule: 9am to 6pm Monday to Friday (5:00 AM to 2:00 PM Manila Time)

Timezone: Sydney AEST

Job Description

The Lease Administrator will be responsible for the effective management of the lease administration function. This role involves performing duties on an allocated portfolio autonomously ensuring accurate and timely processing of financial transactions in the PEPS system and maintaining data accuracy. The Lease Administrator will develop effective working relationships with internal and external stakeholders proactively analyze outgoings and negotiate with landlords to resolve queries. Additionally the role includes producing financial reports updating lessor details and ensuring compliance with company standards.


Key Responsibilities:
  • Manage an allocated portfolio with minimal supervision.
  • Accurately process financial transactions in PEPS as per lease agreements.
  • Prepare monthly payment files and enhance data accuracy in PEPS.
  • Develop relationships with internal and external stakeholders.
  • Analyze outgoings and resolve queries through negotiation with landlords.
  • Produce financial and budget reports.
  • Update lessor managing agent and banking details in PEPS.
  • Ensure timely invoicing of rent and outgoings receivables from subtenants.
  • Provide landlords with necessary insurance certificates and sales reports.
  • Coordinate communication with external agents and landlords.
  • Liaise with finance and other departments as required.
  • Ensure compliance with safety standards and company values.
  • Take ownership of personal learning and development needs.
  • Observe and adopt company brand values and safety protocols.


Requirements

  • Minimum 23 years experience using PEPS or similar lease management systems.
  • Prior experience in retail property lease administration.
  • Strong understanding of retail lease contracts and property terminology.
  • Relevant tertiary qualification in Property or a related discipline.
  • Clear knowledge of the Retail Leases Act or in the interview explain that you can learn this quickly
  • Strong written and oral communication skills.
  • Ability to multitask and work effectively under pressure.
  • Good understanding of commercial negotiations preferably in the bulky goods industry.
  • Intermediate knowledge of Microsoft Office and Excel.
  • Strong business acumen and attention to detail.
  • Leadership skills and a desire to show initiative.
  • High degree of integrity cultural awareness and sound work ethics.
  • Ability to promote and ensure safety in the work environment.
  • Customerfocused with a drive to achieve results and exceed expectations.
  • Problemsolving skills and the ability to generate and implement new ideas.
  • Strong decisionmaking capabilities and strategic thinking.
