Job Description

Job Description: Administrative Assistant

Position Overview: We are seeking a proactive and organized Administrative Assistant to join our team. This role will provide crucial support to our daily operations ensuring efficient administrative workflows and contributing to the smooth functioning of our office environment.

Key Responsibilities:

  1. Office Management:

    • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
    • Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  2. Administrative Support:

    • Assist in the preparation of regularly scheduled reports.
    • Develop and maintain a filing system.
    • Update and maintain office policies and procedures.
    • Order office supplies and research new deals and suppliers.
    • Maintain contact lists.
  3. Communications:

    • Answer and direct phone calls.
    • Organize and schedule appointments.
    • Plan meetings and take detailed minutes.
    • Write and distribute email correspondence memos letters faxes and forms.
    • Assist in the preparation of regularly scheduled reports.
  4. Financial Administration:

    • Support budgeting and bookkeeping procedures.
    • Create and update records and databases with personnel financial and other data.
    • Submit and reconcile expense reports.
  5. Project Support:

    • Support team in assigned projectbased work.
    • Coordinate and track progress on various projects.
    • Provide support to managers and employees in other tasks as needed.

Requirements:

  • Knowledge of office management systems and procedures.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • High School degree.
