Job Description

Position Title: Administrative Assistant
Location: Vancouver BC
Department: Office
Employment Type: Fulltime

Position Overview:

We are seeking a detailoriented and proactive Administrative Assistant to join our team. The successful candidate will provide comprehensive administrative support to ensure the efficient operation of the office. This role involves handling a wide range of administrative tasks and requires excellent organizational skills strong attention to detail and the ability to work independently.

Key Responsibilities:

  • Administrative Support:
    • Manage and maintain executive schedules including scheduling meetings appointments and travel arrangements.
    • Prepare and edit correspondence communications presentations and other documents.
    • Organize and maintain files and records both electronic and physical.
  • Office Management:
    • Oversee office supplies inventory and place orders as necessary.
    • Coordinate office maintenance and repairs.
    • Ensure the office environment is tidy professional and wellorganized.
  • Communication:
    • Serve as the point of contact for internal and external communications including phone calls emails and mail.
    • Greet and assist visitors in a professional and friendly manner.
  • Event Coordination:
    • Assist in planning and coordinating company events meetings and conferences.
    • Handle logistics including venue selection catering and preparation of materials.
  • Project Assistance:
    • Support special projects and initiatives as assigned by the executive team.
    • Conduct research and compile data as needed.

Qualifications:

  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary will be a plus.
  • Proficient in MS Office (MS Excel and MS PowerPoint in particular).
  • Strong organizational skills with the ability to multitask.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problemsolving skills.
  • Strong written and verbal communication skills.
