Position: Personal Assistant and Property Manager
Working Hours: 7 am to 3 pm Phoenix AZ Time (PST and MST half the year each); with
emergency availability on weekends

Salary Range:USD/month

About the job:

We are seeking a highly organized and proactive Personal Assistant with a background in property management to join our team.
The Personal Assistant and Property Manager will play a crucial role in managing the daytoday activities of our executive and assisting with property management tasks for the company. The ideal candidate will be adept at managing various aspects of property management scheduling services tenant communication and managing leases. This role requires excellent problemsolving skills clear communication and the ability to quickly learn and adapt to the needs of the business owner.

Duties and Responsibilities:

  • Administrative Support:
    • Manage the executive’s calendar schedule appointments and coordinate meetings.
    • Handle incoming and outgoing communications including emails and phone calls.
    • Prepare reports presentations and other documents as needed.
    • Conduct research and gather information for various projects.
  • Property Management:
  • Oversee property management tasks including scheduling services tenant communication and lease management.
  • Manage the owner’s schedule and take on tasks to optimize time and efficiency.
  • Proactively identify and solve problems related to property and personal management.
  • Utilize Google Suite and Notion for task management and organization.
  • Handle property listings and bookings on platforms such as Airbnb and Zillow.
  • Perform bookkeeping tasks using Wave.
  • Communicate effectively with tenants service providers and other stakeholders.
  • Task Management:
    • Prioritize and manage multiple tasks to ensure timely completion.
    • Identify opportunities to streamline processes and improve efficiency.
    • Proactively take on tasks to lighten the executive’s workload.
  • Decision Making:
    • Assist in making informed decisions by providing necessary information and analysis.
    • Actively look for ways to optimize schedules and workflows.

Requirements:

  • At least 2 years of proven experience as a personal assistant executive assistant or similar role.
  • Background in property management with knowledge of property maintenance tenant relations and lease administration.
  • Proficiency in Google Suite and Notion.
  • Familiarity with Airbnb Zillow and Wave for property management and bookkeeping.
  • High degree of organization and attention to detail.
  • Excellent timemanagement skills.
  • Strong problemsolving skills and the ability to adapt quickly.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • High level of discretion and confidentiality.

Preferred Qualifications:

  • Knowledge of local property management laws and regulations in Phoenix AZ.
