Job Description

As an Accounting and Operations Administrator you will be tasked with joining our client s team in a role that demands high organization and attention to detail. Your responsibilities will encompass a blend of accounting duties sales administrative support and procurement administration. The ideal candidate will possess a background in accounting exhibit proficiency in English and have a working knowledge of German.

Your Impact Zone: Responsibilities in Focus

Sales Administrative Assistant (50%):

  • Respond to basic sales inquiries and provide initial customer support.
  • Prepare proposals using provided templates and ChatGPT for assistance in both English and German.
  • Provide written sales support to the team mainly in English with occasional tasks in German.
  • Identify leads such as event managers at larger hotels and build comprehensive contact lists.
  • Maintain accurate and uptodate sales records and documentation.

Accounting (30%):

  • Manage all aspects of bookkeeping to ensure accurate financial records.
  • Oversee creditor processes including control booking and payment of accounts payable.
  • Handle debtor processes including booking and collection of accounts receivable.
  • Reconcile bank accounts regularly to ensure accurate balances.
  • Control and book expenses to maintain precise expense records.
  • Prepare monthly financial reports to provide insights into financial performance and ensure all reports are accurate and uptodate.
  • Advise the CEO on financial matters and provide suggestions to optimize financial performance.
  • Coordinate with external trustees and tax advisors for the preparation of tax returns VAT statements and payroll accounting including preparing and providing necessary data.

Procurement Admin (1020%):

  • Monitor inventory levels and initiate reorders to maintain optimal stock levels.
  • Issue transport orders to ensure timely delivery of goods.
  • Implement quality processes to ensure procurement standards are met.
  • Manage supplier communications in both English and German.

Administration:

  • Manage the company inbox ensuring all communications are handled efficiently.
  • Oversee contract management maintaining accurate records and ensuring compliance.
  • Provide general administrative support as needed to facilitate smooth operations.

  • Bachelor s degree in Accounting Finance or a related field.
  • Proven experience as an Accountant or in a similar role.
  • Proficiency in modern cloud accounting software.
  • Strong knowledge of bookkeeping and accounting principles.
  • Excellent organizational and multitasking abilities.
  • Strong communication and coordination skills especially with external service providers.
  • Attention to detail and problemsolving skills.
  • Proficiency in German is a significant advantage.

Skills:

  • Ability to work independently and manage time effectively in a remote work environment.
  • Strong written communication skills in English with the ability to handle some tasks in German.
  • Proficiency in using productivity tools and software such as Microsoft Office Google Workspace and accounting software.
  • Familiarity with sales processes and lead generation techniques.
  • Basic understanding of procurement processes and supplier management.
