Job Description

Job Title: Project Support Administrator
Duration: Initially 3 months, with potential to extend up to 6 months.
Location: Stoke-On-Trent
Salary: 23,400.00 per annum, pro rata.

Are you a highly organised and proactive individual with a knack for administration and project support? Do you excel in a fast-paced environment where attention to detail and excellent communication skills are paramount? If so, we have an exciting opportunity for you to join our clients team as a Project Support Administrator.

About the Role:

As a Project Support Administrator, you will play a crucial role in ensuring the smooth operation of the Project Management Office (PMO) and change delivery team. Your responsibilities will include:

  • Responding promptly to emails sent to the central PMO mailboxes.
  • Maintaining a tracker to record new change requests, purchase orders, invoices, and in-flight project statuses.
  • Constantly tracking the progress of projects, change requests, and purchase orders.
  • Scheduling meetings in Outlook calendars and creating meeting agendas.
  • Capturing and typing accurate meeting minutes and actions.
  • Creating and maintaining filing systems in SharePoint to ensure all project documents are stored efficiently.
  • Issuing reminders to team members and colleagues to ensure key tasks, such as timesheet submissions and project reporting, are completed on time.
  • Providing administrative support to large projects and programs to ensure smooth operations and recorded governance activity.

Essential Knowledge, Experience, and Skills:

  • Excellent organisational skills with a confident approach to prioritising activities based on risk, time sensitivities, and importance.
  • In-depth knowledge of MS Excel, including designing databases and manipulating data using pivot tables and formulae.
  • Proficiency in MS Outlook, Word, Excel, and PowerPoint.
  • Keen attention to detail and a desire to provide high-quality outputs in line with company branding guidelines.
  • Calm, approachable, and able to develop good relationships with team members and stakeholders.
  • Strong team working skills and the ability to support colleagues when needed.
  • Ability to work under pressure within time frames and view challenges positively.

Desirable Knowledge, Experience, and Skills:

  • Exposure to or previous experience of working within a project environment would be helpful but is not essential.

Education and Qualifications:

  • GCSE Grade C in Maths and English or equivalent.
