Job description of Purchase Coordinator
Job title: Purchase Coordinator
Department: Purchase
Geography covered: Corporate office Manufacturing Unit.
Reports to: Purchase Manager
Matrix: Factory Manager Director
Summary:
We are seeking a motivated and detailoriented Purchase Coordinator to join our dynamic procurement team. In this role you will play a vital role in ensuring the efficient and costeffective purchase of FastMoving Consumer Goods (FMCG) for our company. You will be responsible for sourcing and evaluating suppliers negotiating contracts managing purchase orders and overseeing the delivery process.
Key Responsibilities:
Research and evaluate potential suppliers for FMCG products based on cost quality reliability and service.
Request and analyse quotations from shortlisted suppliers.
Negotiate and finalize purchase contracts with suppliers securing the best possible price and terms.
Create and manage purchase orders ensuring accuracy and timely completion.
Track order fulfilment and monitor inventory levels to avoid stockouts.
Maintain strong relationships with suppliers and resolve any discrepancies or issues.
Manage and update purchasing documentation and records.
Analyse supplier performance and identify opportunities for cost savings or improved service levels.
Stay up to date on market trends and pricing fluctuations within the FMCG industry.
Support the Purchasing Manager with other procurement activities as needed.

Key Result Areas (KRAs):
1.
Cost Management: Achieve a minimum of X% reduction in overall purchasing costs for FMCG products within Y timeframe.
2.
Supplier Management: Develop and maintain positive relationships with key FMCG suppliers resulting in a Z% ontime delivery rate.
3.
Purchase Order Accuracy: Ensure 100% accuracy in purchase orders issued minimizing errors and rework.
4.
Inventory Management: Maintain optimal inventory levels to avoid stockouts while minimizing storage costs.
5.
Contract Negotiation: Successfully negotiate contracts that secure favourable pricing and terms for the company.
6.
Process Efficiency: Streamline purchase order processing to achieve a Y% reduction in lead times.
7.
Compliance: Ensure all purchasing activities comply with company policies and procedures.
8.
Data Analysis: Regularly analyse purchasing data to identify trends and opportunities for improvement.
9.
Market Awareness: Stay informed of market developments and pricing fluctuations within the FMCG industry.
10.
Teamwork: Collaborate effectively with internal stakeholders (production sales finance) to ensure smooth procurement operations.
Key Performance Indicators (KPIs):
1.
Percentage reduction in overall purchasing costs for FMCG products.
2.
Ontime delivery rate from key suppliers.
3.
Number of purchase order errors.
4.
Inventory turnover ratio.
5.
Average cost savings achieved through contract negotiations.
6.
Average time taken to process purchase orders.
7.
Number of purchase order compliance issues.
8.
Number of reports generated that identify purchasing trends and opportunities.
9.
Completion rate of training programs on market trends and pricing within the FMCG industry.
10.
Positive feedback received from internal stakeholders regarding collaboration and communication.

Qualifications:
Bachelor s degree in business administration Supply Chain Management or a related field (preferred).
Minimum of 12 years of experience in purchasing or procurement with a focus on FMCG products (preferred).
Strong analytical and problemsolving skills.
Excellent negotiation and communication skills.
Proficient in Microsoft Office Suite (Word Excel PowerPoint).
Experience with purchasing software a plus.
Ability to work independently and as part of a team.
Strong attention to detail and accuracy.
