Job Description

Overview:

The Executive Assistant (Internship) plays a crucial role in supporting the daily operations and administrative tasks of the organization. They provide vital assistance to the executive team ensuring seamless coordination and smooth functioning of office activities.

Key Responsibilities:

  • Manage and maintain executives schedules appointments and travel arrangements.
  • Organize and coordinate meetings conferences and events.
  • Prepare and distribute correspondence reports and presentations.
  • Handle and prioritize incoming and outgoing communication and correspondence.
  • Assist in the preparation of agendas and materials for meetings.
  • Conduct research and compile data to support executive decisionmaking.
  • Handle confidential and sensitive information with discretion.
  • Assist in the onboarding of new team members and interns.
  • Manage office supplies and equipment ensuring proper functionality.
  • Perform administrative tasks such as filing photocopying and data entry.
  • Coordinate with other departments and external stakeholders as needed.
  • Support the executive team in special projects and initiatives.
  • Provide general administrative support to the office as required.
  • Handle adhoc tasks as assigned by the executive team.

Required Qualifications:

  • Bachelors degree in Business Administration Communications or related field.
  • Proven experience in an administrative or support role is a plus.
  • Proficient in Microsoft Office Suite and other office management software.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management abilities.
  • Ability to maintain confidentiality and exercise discretion.
  • Detailoriented with strong problemsolving skills.
  • Ability to multitask and prioritize tasks effectively.
  • Professional and friendly demeanor with a proactive approach.
  • Willingness to learn and take on new challenges.
  • Strong work ethic and willingness to work flexible hours when necessary.
  • Familiarity with office equipment and basic IT troubleshooting.
  • Ability to work independently and as part of a team.
  • Strong interpersonal skills and the ability to build professional relationships.
  • Basic knowledge of office management and administrative processes.
