Job Description

Overview

The role of an Export Documentation professional is integral to the smooth functioning of a companys international trade operations. They are responsible for preparing examining verifying and maintaining various documents related to the export of goods. This role is crucial in ensuring compliance with international trade regulations and maintaining accurate records for efficient logistics operations.

Key responsibilities

  • Prepare and review export documents such as commercial invoices packing lists and certificates of origin.
  • Ensure documentation complies with international trade regulations and specific country requirements.
  • Communicate with internal and external stakeholders to obtain necessary documentation and resolve discrepancies.
  • Coordinate with logistics and shipping departments to schedule and track shipments.
  • Maintain accurate records of export documentation and related correspondences.
  • Provide guidance on export compliance and documentation requirements to internal teams.
  • Stay updated with changes in export regulations and trade policies.
  • Collaborate with customs brokers and freight forwarders for smooth customs clearance.
  • Handle export documentation related to letters of credit and other financial instruments.
  • Resolve any issues or discrepancies in export documentation to prevent delays in shipments.
  • Participate in internal and external audits related to export documentation and compliance.
  • Contribute to process improvements and efficiency enhancements in export documentation procedures.
  • Assist in the management of export licenses and permits.
  • Provide support in the resolution of exportrelated customer inquiries and concerns.
  • Ensure confidentiality and security of sensitive export documentation.

Required qualifications

  • Bachelors degree in International Business Logistics Supply Chain Management or related field.
  • Proven experience working in export documentation or international trade compliance.
  • Indepth knowledge of export regulations INCO terms and international shipping procedures.
  • Familiarity with trade compliance software and document management systems.
  • Strong attention to detail and accuracy in handling confidential export documents.
  • Excellent communication and interpersonal skills for effective collaboration with internal and external stakeholders.
  • Ability to work under pressure and prioritize tasks to meet shipping deadlines.
  • Proficiency in using MS Office applications and enterprise resource planning (ERP) systems.
  • Understanding of import/export documentation requirements for different countries and regions.
  • Capability to adapt to changing export compliance regulations and industry best practices.
  • Analytical mindset to identify discrepancies and resolve documentation issues.
  • Certification in Export Compliance or International Trade is preferred.
  • Knowledge of documentation requirements for hazardous materials controlled goods or special categories is a plus.
  • Understanding of export financing and payment terms is advantageous.
  • Ability to maintain confidentiality and handle sensitive information securely.
