Job Description

Overview

We are hiring front office admin for a leading Hospital
The Front Office Admin plays a crucial role as the first point of contact for clients and visitors ensuring efficient office operations and providing exceptional customer service. They are responsible for managing the front desk handling incoming calls coordinating office activities and supporting various administrative tasks.

Key Responsibilities

  • Greet and assist visitors ensuring a professional and welcoming reception
  • Answer and direct incoming calls taking messages and providing information as needed
  • Manage the front desk area including keeping it clean and organized
  • Coordinate mail and package deliveries sorting and distributing as required
  • Assist in scheduling appointments and coordinating meetings
  • Manage office supplies and inventory placing orders when necessary
  • Provide administrative support such as data entry filing and document preparation
  • Assist in organizing company events or meetings
  • Handle travel arrangements and accommodation bookings for staff
  • Maintain confidentiality and handle sensitive information with discretion
  • Contribute to a positive and professional office environment
  • Collaborate with other departments to support overall business operations
  • Assist in resolving facilities or maintenance issues
  • Follow office procedures and ensure compliance with company policies
  • Provide support to other administrative staff as needed

Required Qualifications

  • High school diploma or equivalent; additional certification in Office Management is a plus
  • Proven work experience as a Front Office Admin or similar role
  • Proficiency in Microsoft Office suite (Word Excel Outlook PowerPoint)
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Customer serviceoriented with a professional and friendly demeanor
  • Ability to handle pressure and prioritize tasks efficiently
  • Keen attention to detail and accuracy in all duties
  • Good time management skills and the ability to meet deadlines
  • Knowledge of office management procedures and basic accounting principles
  • Ability to adapt to various working environments and handle different personalities
  • Familiarity with office equipment (e.g. printers fax machines) and office software
  • Ability to maintain a positive and proactive attitude
  • Willingness to learn and take on new challenges
  • Basic understanding of administrative and clerical procedures
