Onsite administrative data entry and tracking services for the approximately 300 Engineering agreements.
Emailing firms and following up with phone calls for various reasons. Must have a professional demeanor at all times.
Recording data into SharePoint and Excel spreadsheet(s) with linked Excel Ledgers. Accuracy is a priority. Ensuring entered data is in compliance with authorization documents.
Engage Agreement Project Managers/Task Leads to ensure requests for new task orders adhere to Design Division callin agreement guidelines.
Follow up as needed with both PA staff and Consultant staff to ensure proper paperwork is rendered.
Preparation getting signed by the appropriate Duly Authorized Representative and sending out signed award letters to firms.
Electronically file all appropriate paperwork including creating appropriate new file folders for easy access in SharePoint as well as other file structures.
Onsite support for the SandyCall in program. Services shall include but not limited to:
Staffing and cost analysis
Prepare file folders for audit compliance for FTA and FEMA which includes electronic filing and correlating hundreds of emails and documents
Prepare draft procurement memos as well as draft RFP requests and Notices to Proceed Onsite support for the B2G platformwill be willing to train this platform. Services shall include but not limited to:
Running reports in B2G and following up on missing or outdated information.
Editing updating entries in the B2G system.
Running monthly/quarterly reports and able to present data.
Requirements
4years relevant experience
Expertise with desktop applications especially SharePoint Excel (including Excel databases and Excel macros) Adobe Word Outlook and PowerPoint
Excellent Organization skills
Must be able to work independently
Must be able to quality assure/quality control own work for accuracy
Ability to multitask and work well under pressure and in a timely manner
