Job Description

Position Title: Executive Assistant/Operations Coordinator
Work Setup: Hybrid
Salary: Php 60000.00 Php 80000.00
Schedule: Monday Friday 7:00 AM 3:30 PM PH Time

JOB DESCRIPTION FOR AN EXECUTIVE ASSISTANT/OPERATIONS COORDINATOR

Responsibilities as an Executive Assistant/Operations Coordinator:

Accounting
Management of vendor payments initiating payments uploading invoices to Xero accounting system accurate record keeping and recording GST status
Basic bookkeeping activities including client billing and accounts receivable
Webinars and events
Assist with planning and coordination for webinars including scheduling sending invites and managing registrations.
Support the webinar platform during live sessions handling Q&A and audience engagement.
Follow up with webinar attendees after the event by sending participation certificates and/or marketing offers.
Organisation of events by researching venues coordinating logistics etc
Operations of Client System
Populate the client s system with content provided and run thorough checks of accuracy of the content (copying from XLS spreadsheets and ensuring version control)
Assistance with logistics for the team
Support the team with setting up meetings
Support the team with booking hotels flights restaurants and any other itinerary for travel
CRM website and LinkedIn management
Creating and uploading new blog posts to wordpress website
Assist with maintaining and updating the customer database (Pipedrive) to ensure accuracy and completeness of customer information.
Optimise all new content for SEO keywords possibly through use of AI
Create new linkedIn posts and respond to any reactions on LinkedIn

Other activities
Pitch in with other administrative and operational tasks as needed such as data analysis reporting and meeting management.
Assist with customer support by escalating and triaging incoming support requests.

Qualifications as an Executive Assistant/Operations Coordinator:

3 5 years of experience in being responsible for business operations
Completed a degree in Business Marketing Finance IT Software Engineering or a related field.
Must be knowledgeable in basic bookkeeping activities using Xero
A selfstarter with a proactive approach and the ability to work independently.
Highly motivated and eager to learn in a fastpaced startup environment.
Excellent communication and interpersonal skills with the ability to work effectively in a team
Must have experience in creating and planning webinars.
Must have experience in using CRM software like Pipedrive.
Creative thinker with strong analytical and problemsolving skills.
Attention to detail.
Attitude and willingness to learn are more important than raw skills.
Experience in video editing marketing and event planning is a plus but not required.
