Job Description

Fully remote Only for LATAM

Position: Administrative Assistant

Salary Range: USD/ month (based on experience)

Location: Fully remote Only for LATAM

Working Hours: Fulltime 9AM 5PM EST

Language: Professional proficiency in English level C1 is required.

Type of contract: Independent Contractor Agreement.

Scope of the Role
The ideal candidate will possess 13 years of experience as an Administrative Assistant or in a similar role demonstrating strong communication organizational skills and attention to detail. Proficiency in Microsoft Tools and Google Suite familiarity with HIPAA compliance regulations and fluency in English and Spanish are necessary requirements. Preferred qualifications include experience in a healthcarerelated field knowledge of social media management tools and familiarity with patient intake and scheduling software

Duties and responsibilities:

  • Onboard new clients in the healthcare space including Spanishspeaking families who may require additional support
  • Assist with intake paperwork and scheduling appointments with families
  • Provide exceptional customer service to clients ensuring a positive experience throughout the onboarding process
  • Manage and maintain accurate records and files both physical and digital
  • Utilize Microsoft Tools and Google Suite to complete tasks and maintain organization
  • Collaborate with other team members to ensure seamless communication and coordination
  • Stay uptodate with HIPAA compliance regulations and ensure all administrative tasks are completed in accordance with these regulations
  • This role will also serve as a general administrative assistant for duties outside of this job description.

Requirements:

  • 13 years of experience as an Administrative Assistant or similar role
  • Strong communication and organizational skills
  • Excellent attention to detail and ability to meet deadlines
  • Proficient in Microsoft Tools and Google Suite
  • Familiarity with HIPAA compliance regulations
  • Fluency in English and Spanish
  • Ability to work independently with minimal supervision

Preferred Qualifications:

  • Experience working in a healthcarerelated field
  • Knowledge of social media management tools
  • Familiarity with patient intake and scheduling software

Software Familiarity:

  • Microsoft Office Suite (Word Excel PowerPoint Outlook)
  • Google Suite (Gmail Google Drive Google Docs)
  • Patient intake and scheduling software (e.g. Athenahealth Kareo)
