1. Office Management:
1. Oversee daily administrative operations ensuring the office is functioning efficiently.
2. Maintain office supplies and equipment managing inventory and ordering as necessary.
3. Implement and enforce office policies and procedures.
2. Staff Supervision:
1. Hire train and supervise administrative staff providing guidance and support.
2. Conduct performance evaluations and provide feedback to staff.
3. Schedule and coordinate staff to ensure adequate coverage for all administrative tasks.
3. Customer Service:
1. Ensure a high level of customer service by managing the receptionist area and addressing customer inquiries and complaints.
2. Assist customers with administrative issues related to vehicle purchases and services.
4. Documentation and Compliance:
1. Oversee the processing and filing of all dealership paperwork including vehicle sales contracts finance agreements and service records.
2. Ensure compliance with federal state and local regulations including maintaining accurate records for audits.
3. Manage title and registration paperwork ensuring timely and accurate processing.
5. Financial Administration:
1. Assist with accounts receivable and accounts payable functions including invoicing and payment processing.
2. Work with the finance department to ensure accurate financial reporting and budgeting.
3. Reconcile bank statements and manage petty cash.
6. Support to Sales and Service Departments:
1. Provide administrative support to the sales and service departments including preparing reports scheduling appointments and coordinating deliveries.
2. Ensure smooth communication between departments to enhance overall dealership operations.
7. Reporting and Analysis:
1. Generate and analyze reports on administrative activities identifying areas for improvement.
2. Present findings and recommendations to the General Manager.
