Job Description

Position Title: Receptionist

Location: Miami FL

Employment Type: Full Time

Job Summary:

We are seeking a friendly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our company offering exceptional customer service to our clients and visitors. The Receptionist will manage the front desk handle various administrative tasks and ensure the smooth and efficient operation of our office.

Key Responsibilities:

  • Answer and Direct Phone Calls:

    • Professionally answer screen and forward incoming phone calls.
    • Provide accurate information in response to inquiries.
  • Manage Correspondence:

    • Receive sort and distribute daily mail and deliveries.
    • Prepare outgoing mail and shipments as needed.
  • Schedule and Coordinate Meetings:

    • Manage conference room bookings and ensure meeting spaces are prepared.
    • Assist with the coordination of meetings and appointments.
  • Administrative Support:

    • Perform clerical duties such as filing photocopying and faxing.
    • Maintain and update company directories and records.
    • Assist with data entry and management of office databases.
  • Office Supplies and Inventory:

    • Monitor and maintain office supplies inventory.
    • Place orders for supplies and ensure timely restocking.
  • Customer Service:

    • Provide excellent customer service and address client needs promptly.
    • Handle customer inquiries and resolve complaints in a courteous manner.
  • Security and Safety:

    • Follow security procedures and protocols for visitors and staff.
    • Ensure that visitor logs are maintained accurately.

Qualifications:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.

  • Customer service orientation.

  • Ability to be resourceful and proactive in dealing with issues that may arise.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word Excel Outlook).

  • Excellent verbal and written communication skills.
