Job Description

Job Overview

We are seeking dedicated individuals to join as Executive Assistant to the director in the company dealing in the Finance sector. The successful candidates will encompass comprehensive administrative support including calendar management communication facilitation documentation upkeep meeting coordination travel arrangements expense management project assistance and efficient time prioritization ensuring seamless operation and productivity for the director.

Job Responsibilities

1) Calendar Management:

  • Maintain and organize the directors schedule coordinating meetings appointments and travel arrangements.
  • Anticipate and prepare materials for meetings ensuring the director is wellprepared and informed.

2) Communication:

  • Act as a liaison between the director and internal/external stakeholders.
  • Draft and edit emails reports and other communications on behalf of the director.

3) Documentation and Record Keeping:

  • Manage and organize documentation ensuring confidentiality of sensitive information.
  • Prepare proofread and edit documents presentations and reports as required.

4) Meeting Coordination:

  • Plan and coordinate internal and external meetings including logistics agenda preparation and followup actions.
  • Record minutes of meetings and distribute them to relevant parties.

5) Travel Arrangements:

  • Arrange domestic and international travel itineraries accommodations and other logistics for the director.

6) Expense Management:

  • Track and reconcile expenses ensuring accuracy and compliance with company policies.

7) Project Support:

  • Assist in special projects and initiatives providing administrative support as needed.

8) Prioritization and Time Management:

  • Effectively prioritize tasks and manage competing demands to meet deadlines.

Job Requirements

  • Education: Graduation or postgraduation preferably in business administration.
  • Experience: Previous experience in an administrative role preferably supporting highlevel executives or directors is required.
  • Organizational Skills: Strong organizational abilities are essential for managing calendars documents meetings and travel arrangements efficiently. experience with calendar management tools and online collaboration platforms will be preferred.
  • Communication Skills: Excellent written and verbal communication skills.
  • Attention to Detail: The ability to maintain accurate documentation proofread materials and ensure confidentiality of sensitive information is crucial.
  • Tech knowledge: Proficiency in office productivity software such as Microsoft Office Suite (Word Excel PowerPoint Outlook)
  • Adaptability: The capacity to adapt to changing priorities handle multiple tasks simultaneously and work well under pressure is important in a fastpaced environment.
