Job Description

Job Title: Employee Relations Administrator (contract)

Department: Administration

Reports To: Employee Relations Manager



Summary:

This position is responsible for performing the administration of Employee Relations related functions including the processing of payroll and managing the Human Resource Information System as well as completing general office administration duties. All functions must be performed in accordance with established company policies and procedures and is highly confidential in nature.



Essential Duties and Responsibilities: include the following:

1. Employee Relations Administration:

Supports HR Manager with the recruiting process; including preparation of job postings screening resumes

and conducting initial phone screens coordination and facilitation of interview and bookings preparing of

job offers and scheduling of medical appointments

Administers aptitude and personality test to applicants

Keeps accurate record of insurance coverage pension plan and personnel transactions such as hires

promotions transfers performance reviews salary changes and terminations in HR system

Assists with completion of Form 7 for work accidents and prepares reports and payments for insurance

carriers as required

Prepares monthly HR reports for entry

Maintains tracking of company benefits including safety shoes and safety glasses

Prepares vacation balance reports for management distribution as required

Assists with the administration of the company benefit program whereby books employee meetings form

completion and maintaining the forms for employee use

Prepares performance review schedule and status form for management monthly

Completes the payroll processing and enters all exceptions and personnel changes into UKG

Maintains all employee changes in the Group Benefit system

Assists with employee leaves and return to work management

Assists with coordination of Service Recognition Program and Attendance Program

Assists with the administration of the Summer Hire program

Reviews the SMI program monthly for completion

Assists the publication of the quarterly newsletter The Northern Vendor

Maintains the employee communication board

Responsible for circulation of file audit as well as performing the ER /Administration portion

Prepares memos correspondence reports and other documents as required

Coordinate with Micro Market and coffee vendor to ensure lunchroom is stocked with supplies and fruits

Coordinate meetings including ordering lunches and ensuring there is a sufficient supply of drinks and

snacks

ER filing

Other duties as assigned.

2. Administration:

Maintains and updates lobby welcome board as required

Review and update phone directory as needed

Assists department in meeting method improvement objective

Reconcile weekly and monthly invoices as well as mail out weekly cheques received from Accounts

Payable

Perform other duties as assigned

Qualifications:

Knowledge of Employment Standards Act and Payroll processes

Strong communication skills both written and oral

Strong time management skills

Must be able to identify and resolve problems using sound judgement

Results oriented

Strong organizational abilities with focus on attention to detail and quality of work

Intermediate to advance knowledge in MS Office

Previous experience with UKG or ADP payroll an asset

Excellent interpersonal skills

Demonstrates ability to work well with others in a collaborative team environment

Take initiative and work with minimal supervision

Education and/or Experience:

Post Secondary Education preferably in Human Resources or Administration

A minimum of two to three years experience in Human Resources in a similar role

CHRP designation an asset
