JOB DESCRIPTION
As an Administrative Assistant you will play a crucial role in supporting the efficient functioning of the organization by providing administrative and clerical support to HRAD. Responsibilities will encompass a wide range of tasks including fixed asset management and inventory handling documentation and ensuring a smooth workflow within the office.
KEY FUNCTIONS/DUTIES AND RESPONSIBILITIES:
OFFICE ADMINISTRATION
Office Management:
Manage office supplies and equipment ensuring availability and functionality.
Documentation and Record Keeping:
Prepare and edit documents reports and presentations as needed.
Maintain accurate and uptodate records both in physical and electronic formats.
Data Entry and Database Management:
Enter and update information in databases and spreadsheets.
Ensure data accuracy and integrity in various systems.
Meeting Support:
Assist in the preparation of meeting materials.
Attend and record minutes during meetings as required.
FIXED ASSETS
Asset Tracking and Documentation:
Maintain an accurate and uptodate inventory of fixed assets.
Record essential information such as acquisition date cost depreciation and location for each asset.
Asset Valuation:
Regularly assess the value of fixed assets to reflect changes in market conditions or asset conditions.
Collaborate with Finance Team to conduct periodic appraisals if necessary.
Asset Disposal and Retirement:
Coordinate the disposal or sale of obsolete or unused assets.
Update records and ensure proper documentation of asset retirements.
Reporting:
Generate regular reports on fixed asset status depreciation and valuation for management and financial reporting purposes.
Provide insights and analysis to support decisionmaking related to fixed assets.
Collaboration:
Work closely with finance procurement and operations teams to ensure seamless integration of fixed asset management processes.
