Job Description

As Office Manager you are responsible for the day to day running of the Atlanta office working with your colleagues in the UK.

Main Duties:

Office Management

  • Ensure the day to day running of the office is conducted to the highest standards and with integrity at all times.
  • Process all orders each day as they are received.
  • Responsible for premises management opening and closing each day.
  • Responsible for all insurance requirements.
  • Provide administrative support to the Country Manager and their field sales team.

Warehouse and Stock Management

  • Responsible for controlling marketing material and literature stocks
  • Receive stock put away in correct areas and then book deliveries into the system.
  • Prepare pack and despatch orders including promotional items and literatur.e.

Sales Support

  • Administrate Lunch & Learn meetings including sending confirmation letters posters thank you letters and certificates.
  • Oversee administrate and check the Preferred Partners Scheme.
  • Handle any product complaints reporting these to the QC department in the UK.
  • Help coordinate and implement all mailings to vet practices.

Finance duties

  • Produce daily sales reports.
  • Management of payroll in conjunction with processing partner
  • Managing and payment of employee expense claims.
  • Management of the Purchase Ledger andcredit control.
  • Manage bank accounts.
  • Reconcile customer accounts making sure they are up to date.
  • Help HQ in preparing the Monthly Management Accounts.

    You will have:

    • Previous office management experience.
    • Excellent telephone skills and etiquette.
    • Advanced computer skills MS Excel Word Power Point and Outlook.
    • Ideally prior experience of SAGE 200 and or Oracle.
    • Be detail driven.
