Job Summary:
As an Administrative Assistant at our Chennai office you will play a key role in supporting our HR administration logistics and documentation efforts. This position requires a proactive organized individual who can seamlessly handle multiple responsibilities in a fastpaced environment.
Requirements
Key Responsibilities:
Human Resources:
- Assist in recruitment and onboarding processes.
- Maintain HR records including payroll attendance and quarterly staff and labor appraisals.
- Execute payroll management and analyze attendance coordinating with department heads for any necessary corrective actions.
- Prepare and execute quarterly appraisal data.
Administration:
- Issue monthly purchase orders for consumables for the factory warehouse and office.
- Negotiate with vendors for better prices and credit terms and source new vendors for various company needs.
Logistics:
- Coordinate with logistics companies for the movement of export containers and local material collection.
- Negotiate better rates and credit terms with logistic partners.
Documentation:
- Manage all domestic and international sales documentation.
- Handle documentation related to annual contracts rental agreements vendor agreements and annual reports for audits and company secretaries.
Essential Qualifications:
- Bachelor s degree in Business Administration Human Resources or a related field.
- Proven experience as an administrative assistant office admin assistant or similar role.
- Familiarity with office management systems and procedures.
Main Responsibilities: Support Recruitment Process: Assist in scheduling interviews. Maintain records of candidate information. Coordinate with hiring managers and candidates. Purchase Department Support: Generate Purchase Orders (PO) and Goods Receipt Notes (GRN) accurately and timely. Assist in sourcing suppliers and obtaining competitive quotations. Maintain purchase records and documentation. Database Updating: Update and maintain databases as per instructions from the reporting manager. Ensure data accuracy and integrity. Admin Process Follow-Up: Monitor and follow up on administrative tasks. Coordinate with various departments to ensure smooth operations. Assist in resolving administrative issues. Adherence to Company Policy: Ensure compliance with company policies and procedures. Uphold ethical standards and integrity in all activities.
