At Automatit we specialize in cloud migration and intricate DevOps projects boasting over 200 AWS certifications within our global engineering team across three subsidiaries. Serving a diverse range of techsavvy customers our capabilities extend from security implementations and onprem migration to AWS Cloud to the provision of 24/7 NOC services.

In this position you will oversee and optimize office operations across Europe including administrative support budget management event coordination and ensuring efficient crossdepartmental collaboration.

This role will be based in Madrid in a hybrid model.

Responsibilities:
  • Support the company operations in Europe by maintaining the office systems and addressing employees queries
  • Use a range of software including email spreadsheets and databases to ensure the efficient running of the office operations
  • Maintain office and employee information using BambooHR and other systems and tools used for the HR operations
  • Implement new administrative systems such as record management
  • Manage the office budget including supplies inventory and place orders when necessary
  • Maintain the office layout and supplies of stationery and equipment
  • Create revise and maintain office policies and procedures and ensure they are implemented appropriately
  • Coordinate chair meetings with staff and document meeting minutes
  • Local and abroad travel coordination
  • Work crossdepartment to ensure smooth collaboration across the company and a highquality delivery
  • Work closely with Sales and Marketing to coordinate and prepare logistics travel and administration for conferences summits training sessions and other company events across Europe
  • Identifying market trends/updates meant to ensure a better admin operation
  • Create and present reports to management monthly

Requirements :

  • 25 years of working experience in an administrative/office management role in a global company
  • Experience with Google Workspace and Microsoft Office
  • Experience in working with management or Clevel executives
  • Experience with coordinating travel arrangements
  • Experience with invoices/payroll systems
  • Experience with coordinating office and employee travel and events logistics
  • Great attention to detail and analytical abilities
  • Excellent organizational and time management skills and ability to prioritize tasks
  • A selfstarter with the ability to work independently
  • Excellent written and verbal communication skills in both English and Spanish. Advantage to additional EU language(s)
