Job Description

Were searching for an Executive Assistant to join our client s thriving manufacturing team. Harness your organizational prowess and contribute to the industrys growth and innovation. In this role you will be the linchpin of organizational efficiency serving as a Remote Administrative Partner to multiple Vice Presidents within the Commercial organization based in the US.


Here s an overview of your future role:
Employment Type: Projectbased (1 year)
Schedule: Night Shift Mon Fri 11:00 PM to 08:00 AM
Work Arrangement: Permanent WFH

  • Bachelor s degree or equivalent experience
  • 4 years of experience as an administrative/executive assistant virtual assistant or similar role providing support to seniorlevel executives
  • Ability to exercise judgment within generally defined practices and policies to solve problems
  • Ability to quickly become familiar with company operations policies and procedures and leverage them to perform jobrelated tasks
  • Foster relationships with key stakeholders and partners in Europe and the USA
  • Excellent computer skills and understanding of Microsoft Office Suite handheld mobile technologies and applications
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively in a fastpaced highpressure environment
  • Excellent communication and interpersonal skills both written and verbal; Excellent proficiency in the English Language
  • Ability to work independently and collaboratively in a remote team environment with little to no supervision
  • Flexibility to adapt to changing schedules and work hours as required by the hybrid schedule
  • Availability to work alternating weeks on local Serbia hours and US Pacific time hours
  • Experience working in a remote or virtual office environment is a plus
  • Positive attitude and business acumen
  • Ability to multitask in a fastpaced environment and anticipate lastminute changes

Master Your Impact: Core Duties of an Executive Assistant

  • Calendar Management: Skillfully manage internal and external meetings; prioritize incoming tasks and exercise judgment; coordinate with US peers for meeting scheduling and travel requirements.
  • Travel Support: Utilize company travel systems and policies to arrange travel; ensure leaders are prepared with necessary travel information and documentation; provide ad hoc support while leaders are traveling.
  • Material/Data Preparation: Support preparation of presentation materials and data requests; leverage contacts within the organization to collect and synthesize information; work on a variety of topics requiring awareness of organizational operations and processes.
  • Leadership Meeting Support: Gather input for leadership team meeting agendas; create agendas; record meeting minutes/discussions; share clear action plans; prepare information for internal and external discussions/meetings.
  • Expense Management: Enter and manage all expense reporting.
  • Requisitions within Coupa: Enter all team requests; oversee process from start to finish including invoicing and creating purchase orders.
  • Maintain strict confidentiality with a high volume of confidential information.
  • Assist with special projects and other tasks assigned by management.
