Job Description

  • Provide executive support for the CEO COO V.P. and Director of Finance (Executive Leadership Team).

    • Manage the calendar of the CEO with attention to detail and proactive planning optimizing scheduling coordinating professionally and promptly and balancing a range of incoming requests.

    • Support ELT members in scheduling and coordinating key crossfunctional meetings as needed.

    • Responsible for keeping the CEO running smoothly and functioning optimally

    • Extremely High Organization and Prioritization skills

    • Task Time and Calendar Management of CEO and the Business

    • Tremendous FOLLOWUP SKILLS on Everything you Touch.

    • High Execution SkillsAlways completing tasks with a bow on them

  • Manage preparation for Executive Meetings.

    • Support connection between the CEO the Leadership Team and the Board through coordination and scheduling of key meetings.

    • Reserve accommodations and prepare meeting locations coordinating meals and any additional ordering of items to enhance the meeting experience for attendees.

    • Support preparation of meeting materials such as presentations samples prereads etc. for Board Meetings Town Halls and other executive meetings.

  • Support employee engagement through events and communication.

    • Demonstrate a spirit of continuous improvement by diagnosing pain points and identifying areas for enhancement in the employee experience.

    • Coordinate large employee events such as Town Hall Meetings Employee Appreciation events Sales Meetings from calendar invites food meeting materials travel and flow.

CEO Specific Responsibilities:

  • 24/7 MindsetAlways available and not offended by this. Must be available to take calls from the CEO and be willing to occasionally run errands outside of regular hours.

  • Highlevel customer service skills as you will be interfacing with plenty of our corporate contacts and a large portion of our independent contractors and their offices.

  • Handle logistics for meetings and all events

  • Ability to work independently and be proactive in your learning.

  • Excellent personal project management skills ensuring follow up and completion where needed.

  • Thorough research as requested and handling any Ad Hoc responsibilities for the CEO



Requirements

  • Critical thinking must use critical thinking skills to make decisions on how to handle customer complaints and how to improve processes for unexpected situations

  • Teamwork must be able to work collaboratively with other internal and external stakeholders

  • Highly organized detail oriented and excellent time management skills

  • Working experience with Import & Customs compliance understanding of HS Tariff codes

  • Working experience with freight booking negotiations

  • High school diploma or equivalent

  • Bachelor s Degree from fouryear college or university

  • Excellent verbal and communication skills

  • Driver s license and reliable transportation

  • Must be within 30 minutes of Ridgefield NJ 07657
