Job Description

Northwest Talent Solutions is assistant a preferred client in filling an important Administrative Assistant position in their Philadelphia PA office. This position is a temp to permanent position and provides an opportunity to work for an organization with an missiondriven culture and room for growth.

Responsibilities:

  • Typing; ability to coordinate workflow; ability to work closely with the
  • Statewide Chapter Officers Business Agents and the Operations Director; ability to work independently on projects.
  • Responsible for a wide variety of duties word processing preparing minutes reports and correspondence maintaining accurate and detailed records and files greeting visitors telephone reception and scheduling appointments and meetings. Responsibilities include but are not limited to:
  • Coordinate the daytoday administrative operations of the Philadelphia office;
  • Provide administrative support to business agents and chapter officers;
  • Prepare Microsoft Word documents and Excel spreadsheets (e.g. correspondence minutes memos briefs agendas contracts reports etc.) from written or verbal information to create accurate and professionally styled documents;
  • Prepare and distribute new hire membership packets;
  • Schedule meetings and appointments to ensure availability prioritize schedules and avoid scheduling conflicts;
  • Monitor order and fill all supplies needs of the Philadelphia office including ordering printing supplies as needed and ensuring proper care and control of supplies;
  • Ensures operation of office equipment by completing preventive maintenance requirements; calling for repairs; and maintaining equipment inventories;
  • Maintain records for all SEIUowned and leased equipment in the Philadelphia office;
  • Prepare monthly bills for postage copying or other goods or services provided to other groups with whom prior agreements have been made;
  • Screens incoming telephone calls to provide assistance or refer calls to the appropriate staff;
  • Prepare membership reports including the creation of lists and labels using the Membership Tracking Database;
  • Maintain membership dues/agency fee files records and any associated documentation;
  • Track and maintain a record of all membership applications received in the Philadelphia office;
  • Greets visitors providing assistance or refers to the appropriate staff member;
  • Monitor all equipment needs overseeing prompt repairs when necessary maintaining information on service agreements and ensuring the proper care for equipment;
  • Perform general administrative tasks as needed and requested
