Job Description

Role:

The Program Coordinator Team Lead will be primarily responsibility for managing the EAP coordinator team, guiding them through the transformation into a globally adaptable unit and delivering customer service excellence. Concurrently, the teal lead will uphold duties as a program coordinator, ensuring the seamless operational delivery of Uniphar's Early Access Programs that directly engage Healthcare Professionals.

Responsibilities

Team Leader:

  • Management of program coordinator team - including division of duties and rotas, always ensuring continuity of service.

  • Working closely with operational colleagues to drive efficiencies in process and service delivery.

  • Working closely with the Director of Program management and Program Director to ensure PC service levels are aligned to client needs and opportunities for process enhancement are recognised.

  • Takes the lead for ensuring all program reporting is well centralised and completed on time.

  • Takes the lead for ensuring all client invoicing is completed on time and reported efficiently.

  • Represents the PC team within the MAP division.

  • Travel will be required (approximately 10%), primarily between UK and Ireland but will be dependent on the team locations.


Program Co-Ordinator

  • Management of all HCP enquires into the dedicated program email boxes and telephone lines and inhouse portal systems (UniPhi and Health Point)

  • Works closely with the Project Management team to understand the specificities of each program.

  • Assists HCPs with queries and escalates any medical enquires to the relevant personnel.

  • Manages the qualification process as per relevant SOPs and cGDP processes for HCPs wishing to register with Durbin.

  • Manages HCP and hospital accounts within Durbin systems liaising with QA colleagues and finance colleagues to complete account set-up and revalidation if needed.

  • Responsible for management of new requests entering the Durbin EAP portal (Uniphi), including assessment of basic criteria for enrolment of patients into each program by their HCP.

  • Enters product orders into Durbin Order systems (SAP, ASC) for onward delivery to logistics and warehouse colleagues to action.

  • Progresses approved requests for access into product orders and manages communications with internal colleagues and the HCP customer to ensure timely and compliant delivery of product.

  • Provides all documentation for each order to logistics team to organize dispatch and shipment.

  • Manages reports and dashboards to communicate on program metrics to internal teams and also pharmaceutical company clients.

  • Creates and issues invoices for product orders and manages the submission of invoices into hospital and site systems.

  • Liaison with internal finance colleagues for reconciliation of overdue accounts and incoming invoice payments.

Required

  • Third level education or relevant experience within healthcare/pharmaceuticals

  • Fluent in English and one other language - any of French, Spanish, Italian or German

  • Proficient in the use of Microsoft office namely: Outlook, Word and Excel

  • Previous experience of ERP systems use such as SAP or D365 an advantage

As we are a global team, there is flexibility to be based in one of Uniphar's offices or work from home. There may be a need for face to face meetings in other locations, as needed. There may also some flexibility required in order to interact with colleagues or clients in their time zones (i.e. it's not a '9 to 5' type of job).
