Job Summary:

The Executive Assistant supports the CSuite Executive. The Executive Assistant is responsible for coordinating projects preparing reports and presentations organizing and maintaining the executive s schedule and assisting by performing a variety of administrative tasks. Their role is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.


Responsibilities:

  • Manage and maintain executives schedules appointments meetings and travel arrangements.
  • Arrange and coordinate Zoom meetings and offsite events.
  • Record transcribe and distribute minutes of meetings and keep minutes.
  • Prepare and edit correspondence communications presentations and other documents.
  • Monitor screen and respond to and distribute communications.
  • Interact with external clients and liaise with internal staff at all levels
  • Organizing and providing business and family expenses information to Family Office and Corporate Accounting to record the expenses
  • Review operating practices and implement improvements where necessary
  • Ad hoc projects as assigned


Requirements


  • Minimum of three years of administrative experience providing support at an executive level.
  • BA in Business or equivalent work experience.
  • Proficient in using the latest versions of Microsoft Excel and Word.
  • Excellent organizational communication planning and time management skills.
  • Excellent written and verbal communication skills.
  • Strong analytical skills and attention to detail.
  • Integrity and confidentiality.
  • Attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Must have Fiber Optic internet with at least 25 Mbps bandwidth
  • Must have a backup desktop or laptop with the latest OS
  • Must be able to work on a shifting schedule
