Job Description

Typically has the following direct reports: IT specialist
Receptionist

Driver
Gardiner Purpose of the job: To ensure efficient running of the main office provide hands on assistance coordination and information to the COO CEO and Director. Key relationships(internal & external): Internal – Branch Management Finance Group HR

External – Suppliers Service providers and clients Critical experience: 10 years in an Exec PA role
Motor Industry ideal Minimum Education: Tertiary qualification ideal Technical (systems) knowledge required: Microsoft (all suites) – Advanced

Job outputs: Key Performance area: Tasks: Weighting:
  1. Provide a comprehensive Executive PA service
Manage Executives personal administration

Manage Executives diaries

Book and manage all local and international travel arrangements

Arrange Executive meetings 25%
  1. Contribute to the achievement of Company profit through strict adherence to prescribed standards and cost controls
Ensure costs are minimised on general upkeep of the buildings and office sundries by obtaining most competitive prices

Monitor expenditure and ensure stock availability in all branches in relation to:
Ordering and utilisation of groceries and other supplies
Cleaning Materials

All purchases – Stationery Uniforms Yard utensils etc.

  1. Establish internal controls to deliver efficient processes systems and standards
Ensure the general maintenance of main branch through management of the cleaning staff

Monitor caterers on designated days

Monitor purchasing and utilising of diesel

Ensure all travel bookings are booked at the most economical rates to suit travel arrangements

Monitor and authorise overtime and clocking’s for the Group

Ensure HR documentation is submitted timeously to HR for payment to occur

Ensure forklifts are serviced repaired and load tested to remain in working order

Arrange special events (e.g. Year end and occasional functions)

  1. Management and development of Human Resources
With assistance from HR recruit competent high performance staff and complete all preemployment checks and onboarding documentation

Contribute to developing an enabling culture and high staff retention through mentoring

Drive performance management throughout the year by assisting with hearings and counselling

Provide training and development to relevant staff

Monitor the conducting of annual performance appraisals and coordinate the return of performance appraisals and other HR documentations to HO HR

Responsible for compliance of Health and Safety in Auction Nation

Drive the achievement of BBBEE goals

Authorisation of Health and Safety submissions for quarterly meetings
