Job Description

One of our esteemed clients in the Shipbuilding industry is currently seeking an Administrative Support Manager with 10 years of experience alligning to the shipbuilding industry to be based in Dammam Kingdom of Saudi Arabia.

Job Overview:

An Administrative Support Manager plays a crucial role in ensuring the smooth and efficient operation of an organization or department by overseeing administrative staff and functions. This role involves managing a team of administrative professionals implementing processes to streamline administrative tasks and supporting the organizations goals and objectives.

Coordinate and perform a diverse set of support tasks managing both staff and property to ensure the organization and its facilities have the staff and resources needed to operate smoothly and efficiently.

Strategic Responsibilities:

  • Align goals processes and resource allocation with the organizational strategy while maintaining awareness of commercial and business objectives
  • Ensure the accomplishment of organizational unit objectives by managing staff; planning and evaluating organizational unit activities.
  • Define objectives identifies and evaluates trends and options chooses a course of action and evaluates outcomes.
  • Accomplish financial objectives by forecasting requirements preparing an annual budget scheduling expenditures analyzing variances and initiating corrective actions.
  • Maintain quality service by enforcing quality and customer service standards analyzing and resolving quality and customer service problems and recommending system improvements.
  • Support with strategic problems resolution and subjective decision making.

Managerial Responsibilities:

  • Supervise the entire work done by the team members and making sure it is completed on time without any delay.
  • Lead the team to complete tasks and meet goals through delegation of responsibilities and supervising business operations.
  • Set the vision and motivation of the team in order to achieve the sought objectives efficiently.
  • Set appropriate and achievable deadlines.
  • Track and report critical organizational unit performance results and escalate and negotiate business related issues to senior management.
  • Accomplish staff results by communicating job expectations planning monitoring and appraising job results.

Functional Responsibilities:

  • Establish evaluate and change department controls and systems review reports and interpret data.
  • Identifies opportunities for cost savings better efficiency or other improvements; recommends and implements policy or process changes as appropriate.
  • Manage clerical and administrative staff while ensuring that the department and office operate efficiently and smoothly.
  • Supports other related varying needs of assigned departments and staff such as but not limited to answering calls collecting and distributing mail organising and storing information or paperwork setting up meetings and making travel arrangements.
  • Prepares negotiates analyzes and reviews contracts for equipment supplies materials services and products.
  • Creates and administers budgets for supplies equipment and contract services.
  • Ensures that buildings grounds equipment and supplies such as but not limited to mailing printing and copying; security; and cleaning and maintenance; are maintained and serviced.
  • Monitors any construction or renovation projects to ensure plan requirements and applicable health safety and legal standards are met.
  • Collaborates with architectural engineering design and planning teams to create functional and productive work and other business spaces.
  • Prepares and reviews departmental maintenance and other recurring schedules and reports for accuracy and efficiency.
  • Align and manage interactions between all administration support and facilities management functions.
  • Oversees the disposal of unclaimed or surplus property.
  • Other related duties as assigned.

Qualifications:

  • Bachelors Degree in Business Administration or any other similar field.
  • 10 years of experience in a related field.
  • Masters Degree in Business Administration or any other similar field preferred.
  • Saudi Nationals will be given first preference
