Job Description

The Position:

With growing agency needs they have an opening for an Accounting and Administrative Assistant to serve on their Agency Administration team. In this role you will be reporting to Vice President of Accounting and assisting with the needs of the Accounting and Claims Departments it pertains to the following designated tasks:

AGENCY ACCOUNTING (50%):

Accessing carrier websites and billing portals to obtain copies of direct bill commission statements

Assisting in the reconciliation of direct bill commission statements and agency bill invoices in Vertafore Agency Management System (AMS360 & Benefit Point)

Suspense accurate commission billing for review in accordance with producer contracts

Reconciling account transactions between agency checking accounts and commission statements

Preparing processing and posting remote business deposits

Assisting in the tracking of expenses and reconciliation of expense reports between the agency departments

CLAIMS MANAGEMENT (30%)

Assisting the Claims Manager with the following tasks:

Field incoming claims phone calls from agency clients gathering pertinent information to file insurance claims with their carriers

Accurately create claims files in Vertafore Agency Management System (AMS360) to generate proof of loss notices and thoroughly document claims being filed online by phone and by email

Suspense follow up on claims processing items and update claims file accordingly

Provide clients with necessary and pertinent claims information including claim numbers and adjuster contact information

Assist in coordinating communication efforts between clients and insurance carriers as necessary

Handle infrequent claim filing matters during weekends and holidays as needed; this would be on an alternating basis with the Claims Manager and would not include every weekend or holiday and can be done remotely using a company provided laptop and cell phone

GENERAL OFFICE ADMINISTRATION (20%):

Field incoming phone calls from agency clients transferring them to the appropriate agency staff as a back up to the receptionist

Assist in running postage machine to mail out correspondence as necessary

Assist in the sorting filing and distribution of incoming mail to agency staff

Review and forward electronic communications and incoming faxes to the appropriate parties within the agency

Knowledge & Skills:

For this role the following skills and competencies are vital to your success and ours:

Strong analytical mindset and abilities

Strong knowledge of accounting principles and concepts

Strong verbal and written communication

Strong organization and follow up skills

Computer proficiency including the use of Microsoft Office Suite Vertafore AMS360 product knowledge is a plus but not required

Ability to work independently and in a team setting

Education & Experience:

High school diploma required

Associates or Bachelors level college degree preferred

0 2 years of experience in a bookkeeping banking or similar administrative setting

Compensation & Benefits:

Competitive base salary dependent on experience

o For any weekend/holiday work associated under the Claims Management Duties

Section: if a new claim did require immediate attention and assistance you would be paid the equivalent of salary’s hourly wage for the afterhours time invested
