Job Description

Essential Responsibilities

Payroll Management
  • Manage high volume, semi-monthly payroll process across all managed non-profits, including leading the processing of exceptions, new hire and termination pay, and leaves of absence, as well managing time and attendance tracking
  • Manage the payroll cycle, including managing the payroll calendar for internal stakeholders, and shepherding payroll through each stage of processing, review, submission and reconciliation
  • Partner with the finance team to complete reconciliations of payroll and tax transactions, including review of payroll register and matching net pays, taxes, and 401(k) transactions to bank transactions, to resolve all discrepancies, and to process all tax adjustments through the finance systems
  • Consult with clients on payroll requests to ensure compliance and equity
  • Review/approve payroll entry, and input back-end payroll adjustments as appropriate
  • Support Director in final approval and submission of each payroll
  • Coordinate off-cycle payroll process
  • Coordinate garnishments and live checks as needed
  • Act as go-to payroll expert for internal staff stakeholders and external clients, researching answers as needed
  • Partner with the Director of Compliance Systems in developing and supporting payroll-related objectives, outputs and standards. Special projects related to these objectives as assignedManage and contribute to various periodic audits, including 401(k) retirement plan eligibility tracking and plan audit and benefits deduction changes during open enrollment

HRIS/Data Management
  • Act as system administrator and liaison to HRIS vendor. Collaborates with HR Team in rolling out additional components of the system as appropriate.
  • Manage payroll documentation, including collection, review, storage, auditing, retention policies and distribution
  • Manage integrity of data, including updating personnel files as appropriate
  • Produce and distribute payroll reports cyclically and ad hoc
  • Develop and maintain systems to streamline routine flow of payroll and tax information between payroll and finance department, reconciling transactions semi-monthly
  • Work closely with finance department to reconcile inquiries, discrepancies and issues arising from payroll or payroll/tax-related bank activity
  • Identify and lead cross-team payroll process and workflows
  • Support quality control efforts for employee data, including routine audits of deductions, taxes, salary data, etc.
  • Serve on team that develops engagement protocols for other internal teams such as the finance and compliance departments

Compliance
  • Oversee timekeeping system compliance
  • Work with Compliance team to register in new states, input appropriate state tax, unemployment and disability information into the HRIS, and maintain reporting and compliance requirements in each state

People Management
  • Oversee the day-to-day work of the payroll team, including HR Manager and HR Generalist

To be successful in this role you ll need:
  • Bachelor s degree or equivalent
  • Minimum 5 years of professional experience in HR with at least four years experience strong payroll and tax related exposure in a multi-state environment, including California
  • High level of technical expertise and knowledge of federal and state payroll and tax laws, regulations, and standard best practices
  • Experience administering HRIS, preferably UKG Pro
  • Experience in professional services environment, PEO or similar highly desired
  • Experience managing high volume of tasks with shifting priorities and deadlines
  • Demonstrated experience with designing new systems, and executing change management and stakeholder engagement strategies
  • Project management experience, including managing complex timelines and tracking systems, and managing stakeholders at every level with varied interests and needs.
  • Demonstrated experience administering complex and disparate data systems, including a predisposition to chase details, reconcile discrepancies, and identify underlying problems
  • Strong teamwork and relationship building skills with all levels of seniority
  • Strong client service and interpersonal skills such as tact and diplomacy
  • Exposure to managing and interpreting compensation data, with a focus on equity
  • Deeply inclined towards metrics and data-driven decision-making and accountability
  • Exceptional communication skills, both written and verbal, with a strong customer service mentality and high degree of integrity, accountability, and emotional intelligence. Highly effective at communicating analysis, recommendations, and conclusions
  • Excellent analytic and problem-solving skills with the ability to take a thoughtful approach to addressing challenges
  • Strong capabilities in Microsoft SharePoint, PowerPoint and Excel; exposure to Salesforce a plus
  • Experience in a progressive, mission-driven, and entrepreneurial environment
  • Experience in rapid growth environment preferred
  • Optimism, adaptability, and a good sense of humor
  • Passion for philanthropy, nonprofits, or foundation operations
