Job Description

Our client is looking for an Assistant Project Manager with HVAC experience.

The responsibilities include:

  • Establishing an estimate for any in-house project - with or without the help of others; meeting the required estimate deadline
  • Managing a project team from the inception of the project, including identifying personnel and equipment needs.
  • Orders equipment, materials, and subcontractors in a timely manner without delaying the project schedule
  • Establishes a plan for what needs to be done, what resources are needed and when; coordinates with field superintendents / general contractors/subcontractors to meet completion dates. Assures subcontractors are scheduled to complete their activities in accordance with the scope of work.
  • Manage change orders - adjusts new information or additional scope of work with client / general contractor. Make sure the field foreman understands the original scope of work so any changes can be addressed and brought to the project manager's attention.
  • Manages manpower - Ensures the appropriate number and expertise of workers are provided for each project in collaboration with the trade superintendent. Maintains a manpower projection sheet to allow field superintendents to plan their resources.
  • Ensures purchase orders and subcontract agreements are submitted to accounting in a timely manner and follows up on unapproved invoices.
  • It involves site visits, reviewing drawings and specifications, and maintaining effective communications with clients to ensure that labour and materials meet specifications.
  • Monitoring margins - maintains profit margins according to estimates and recovers margins for incremental value-added work by completing monthly billings, job cost reports, and manpower requirements. Follows up on late invoices with customers.
  • Ensures final billings are collected, prepares final drawings, develops operation and maintenance manuals, establishes warranty dates, and completes punch-list items.

Experience, education, and qualifications:

  • Facility maintenance and field experience are pluses
  • An in-depth understanding of the construction industry
  • Experience in the mechanical industry of at least five years


The following skills are required:

  • Interaction between mechanical and non-mechanical trades
  • A flexible schedule during the week and at the weekend is essential for time management
  • Developing and maintaining relationships with clients
  • A work ethic that is strong
  • Multitasking ability
  • Knowledgeable in Excel, Word, and Bluebeam
  • Autocad and Viewpoint experience are a plus
