Principle Assistant (Project Support)

EXPERIENCE AND EDUCATION:
Essential Qualifications/Experience:
A minimum requirement of a higher vocational training in a related discipline with 3 years post-related experience
Or exceptionally, the lack of a higher vocational training may be compensated by a secondary educational qualification and the demonstration of a candidates particular abilities or experience that is/are of interest to NCI Agency, with at least 5 years extensive and progressive expertise in duties related to the function of the post
Skilled in the use of advanced computer-based tools in the areas of office automation (MS Office Suite especially MS Excel, MS SharePoint)
Familiar with principles of accounting and finance
Knowledge and experience of project management / project planning methods and tools including MS-EPM / MS-Project
User experience of Oracle E-Business Suite modules
Desirable Qualifications/Experience:
PRINCE2 Foundation and Practitioner or PMI equivalent such as CAPM or PMP
Prior experience of working in an international environment comprising both military and civilian elements
Knowledge of NATO responsibilities and organization, including ACO and ACT
DUTIES/ROLE:
Work under the direction of the Principal Business Manager
The day-to-day support to business management within the NDW Portfolio
Assisting in planning projects, including but not limited to the editing, coordination, collection and development of documents often in association with the business intake process and will perform other staff officer duties to facilitate the smooth operation of the Service Centre
Provide financial assistance such as the handling of purchase requests and purchase orders
Monitor the business intake process to ensure essential data is included and project plans are realistic and achievable
Review project plans and cost estimates prior to dissemination; maintain the NDW internal tracking tools that are related to the business intake process and specific business milestone targets
Assist the business team in the management of the running costs, but also in the analysis of specific financial reports linked to budgets and the related project and services
Provide guidance to Project Managers (PM) on effective planning and control of projects but also of the Business Intelligence tools that can be of use to them
Provide support and informal training to PMs in the day-to-day management of their Project Plans
Support the management by exception process
Assist in analysing business metrics and KPIs that are used to support specific internal and external reviews
Assist in the Resource Levelling process but also provide resource managers with relevant information needed by them for effective management of their personnel
Ensure NDW personnel are booking TAS in accordance with the billable targets they are set out to achieve
Deputize for higher grade staff as required
Perform other duties in accordance with NCI Agencys area of business as may be required
