Job Description:
P&O - Associate - Integrated Absence Management Specialist
In this position, you will be a member of the absent management call center/ Leave Service Center.
Responsibilities will include:
1. Call Center and Intake
Answer inbound phone calls from Associate who are requested leave under FMLA, Short Term Disability, Parental or Maternity Leave.
Provide accurate information to Associate concerning FMLA, State Leave, and Mars Leave benefits and policies.
Enter new leave cases into time management system, assign case to the appropriate case manager, and document all conversations with Associate.
2. Manage all FMLA and State Leave eligibility and determination decisions while maintaining regulatory compliance.
Determine associate FMLA/State leave eligibility.
Set up timekeeping system so FMLA/state leave protection and pay codes can be applied to the leave.
Provide associate with the appropriate eligibility notice with timeframe allow by law.
Provide associate with FMLA and/or short-term disability application and forms.
Review and evaluate all FMLA/ state leave applications and forms to determine if qualifying event and provide designation notices within timeframe allow by law.
3. Management Parental and Maternity Leaves
Primary contact for the associate for the leave.
Review leave dates with associates and line managers.
Ensure timecard is coded properly so associate receive pay and FMLA/state leave protection if applicable.
4. Mail Management: Inbound and Outbound
Identify and file all faxes, email, and mail within 24 hours of receipt.
Notify case manager of all new mail received.
Create and label all outbound mail for the disability/absence management team and deliver e-folder to mail room daily for printing and mailing.
This is a Call Center atmosphere. It will require data entry and case set up required while speaking with associate. It requires time sensitive and detail-oriented tasks and communication to ensure compliance with federal and state leave laws. You will need to collaboration with other members of the Associate Health and Wellbeing team.
Knowledge/Experience:
Disability management, FMLA regulatory compliance administration, or Leaves of Absence management preferred
Certified Leave Management Specialist (CLMS) or similar professional certification, preferred but not required.
Professional and compassionate communication skills
Accuracy in capturing data and managing detailed and confidential health information
Understanding of health and disability terminology
