To further strengthen our growing team, we re looking for an enthusiastic and committed team player to join embedded/capital as Management Assistant. You ll play a critical and dynamic support role working closely alongside our partners and the wider team, as well as overseeing our brand new office. If this sounds like you, please reach out!
Tasks
Management Assistant to Partners
- Manage Partner s calendar and overall schedule (including prioritization of topics) and make travel booking and accommodation arrangements
- Organize meetings, including scheduling, sending reminders and organizing catering or restaurant arrangements as necessary
- Support with other general administrative tasks such as meeting follow-ups, recording meeting minutes and other matters as required
Office Management
- Act as point of contact to landlord, other building tenants and key office service providers (e.g. cleaning service etc.)
- Coordinate ordering of supplies and management of office inventory (e.g. stationery, food, beverages etc.) including approving related invoices
- Maintain ongoing office condition and arrange necessary repairs
- Manage entry to office and welcome guests to reception area
- Collect and distribute office mail
- Coordination of IT equipment and vendors
Event Coordination
- Coordinate and execute company-hosted events schedule including tasks such as booking venues, liaising with vendors, managing comms, handling logistic and coordination on event day
- Maintain external events schedule for team and coordinate attendance
Team Support
- Organization of team and internal events (e.g. team Xmas party, off-sites etc.)
- Coordination of onboarding process for new hires
Requirements
- Proactive, self-motivated and able to quickly adapt to new requirements and challenges
- Strong interpersonal skills and team orientation with a strong service ethos
- Excellent written and verbal communication skills
- Prior experience in executive assistant or wider service-oriented roles (e.g. hospitality)
- Proficiency in English (Business) and German (Basic)
