Job Description

Job Title : Administrative Assistant III-12576

Location : San Francisco, CA 94105 United States
Duration : 6+ Months

Responsibilities:

The position provides administrative support to the Head of Startup Banking and Chief of Staff for Startup Banking.

The Administrative Assistant position would possess intellectual curiosity to develop a strong command of SVB's business acumen which will allow him/her to use judgment and experience to make independent decisions. A strong sense of urgency, the ability to think beyond the initial set of facts or issues, and a strong orientation towards self-reliance and resourcefulness will distinguish the best candidates. Works on assignments/projects that are complex in nature where considerable judgment and initiative is needed in resolving problems and making recommendations. Exercises judgment within defined procedures and practices to determine appropriate action. Normally does not receive work instructions, may determine methods and procedures on new assignments. Prior event management and marketing experience preferred as this role will collaborate with Senior Leadership to curate events large and small, in person and virtually. Overtime may be required.

Independent judgment and discretion applied; however, not related to matters of significance.

Utilizes judgment to make administrative decisions.

May recommend concepts for improvements of efficiencies.

Job Skill Level (experience level, sources of job guidance, years of experience required, etc.)

Excellent verbal and written communication skills a must

Ability to triage and prioritize tasks including long-term assignments and urgent tasks

Ability to balance multiple priorities and meet deadlines

Must be able to use professional work skills, discretion and good judgment at all times

Ability to work with well-established teams and be a team player

Strong planning and organizational skills event management experience preferred.

Attention to detail is a must

Ability to handle sensitive/confidential information requiring a high level of discretion

Work on diverse administrative assignments with competing priorities, including event planning management

Excellent customer service skills

Must be proficient with the Microsoft Office Suite

Primary Duties:

Own the calendar for Head of Startup Banking and Chief of Staff for Startup Banking; schedules and organizes complex activities such as meetings, travel, offsites and department activities for members of the organization

Coordinating logistics and acting as an on-site contact for business unit events, including Staff Meetings & Offsite Meetings

Inputting data and submitting expense reports.

Compiling Quarterly Reporting for Executive Committee

Approval management in multiple systems, such as team member's expense reports and IT requests; Scheduling interviews for open roles

Handles highly confidential and non-routine information and explains policies when necessary to team members

Coordination of all travel for Head of Startup Banking and Chief of Staff of Startup Banking

Performs creation and development of visual presentations; types and designs general correspondences, memos, presentations (e.g. PowerPoint), graphs, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy

Acting as a liaison with other departments and outside agencies, including high-level staff; budget/project expense tracking, submitting invoices, creating PO's, etc

Works independently and within a team on special non-recurring and ongoing projects. Acts as project manager for special projects, which may include:

o planning and coordinating multiple presentations;

o disseminating information

o Coordination of org wide events

o Ownership of business continuity plan

o Managing promotion process and talent review process for the organization

Onboarding new team members.

General administrative duties for the expanded team as necessary.
