JOB PURPOSE:
- Executing all tasks assigned by the BU Head
- Supporting the marketing team.
- Coordinating between the BU team & other departments in order to support & facilitate their relevant requests.
KEY RESPONSIBILITIES AND DUTIES:
Manage the administration part of the BU Head and Marketing:
- Handling correspondences (in/out faxes, e-mails, …. etc.)
- Developing & following up the filing system of the office.
- Handling phone calls.
- Event management for all marketing events, PRs, travel arrangements…etc.
- Following up all OTPs, PRs, Repair orders, expense sheets, traveling advance, courier,…etc.
- Following up due dates
- Arranging appointments & daily agenda of the BU Head.
- Take minutes of meetings.
- Ordering the required stationary items to keep available stock for the office needs.
- Preparing presentations upon request.
Prepare monthly reports/ meeting deadlines
- Monthly reports to the GM
- Make sure that Monthly Marketing IMS report to be sent to the BU Head.
- Providing line managers with group meetings analysis per line per DSM whenever needed (Spending vs budget).
Participate in the Business Plan preparations
- Adjusting the Business Plan template presentation
- Finalizing the plan for the Management meeting
Events management:
- Initiating and finalizing all E-BUY and MY-COMET requests (Staff / group/expert meetings & Standalones) with a clear following up on approval cycle.
- Handling documents needed for HCP's vendor creation and following up till the end of the process with procurement team.
- Handling all visits logistics from bookings, reservations, and communicate with the relevant stakeholders to take the necessary action for applying safety standards.
Others
- Perform other duties as assigned.

Responsible for applying the HSE related requirements for the company in all related working procedures.
