Our Client is a beauty house which specializes in hair makeup and bridal care. They are seeking to hire an Office Administrator to manage its house of beauty located in Dar es Salaam. The candidate is expected to perform the following duties;
Answer calls schedule and remind clients on their appointments
Receive and direct clients as per their needs
Maintain relationships with customers
Maintain and update clients database
Ensuring office procedures are adhered
Ensuring office bills are settled on time
Attending general clerical duties including photocopying and mailing
Maintain electronic and hard copy filing system
Prepare and modify documents including correspondence reports drafts memos and emails
Schedule and coordinate meetings and travel arrangements for the office
Prepare agendas for meetings and follow up on action items
Record compile transcribe and distribute minutes of meetings
Open sort and distribute incoming correspondence
Maintain and update office supplies inventory
Ensure that a stock of all relevant office supplies is kept and refilled as required
Overseeing office cleanness and maintenance
Receiving payments from clients issuing receipts and preparing daily sales report
Coordinate and maintain records for employees
Track leave requests for employees
Prepare payments for employees and file related documentation
Prepare office reports
Requirements
Education and Experience
Bachelor s degree in business administration Sociology Accounting or any relevant degree
Two to three years of experience in office administration
Experience in maintaining front desk is desirable
Computer skills (excel word power point mails)
Knowledge of clerical and administrative procedures and systems such as filing and record keeping
