About the Company:

The Company is seeking to fill this role is one of the worlds leading sports event management companies established since 1991 and has had a presence in Qatar for over five years.

Role & Responsibilities Summary:

The Technical & Logistics Manager plays a pivotal role in managing all technical infrastructure and logistics requirement for various projects and events of the Hospitality Division.

This role ensures that all utility and infrastructure needs are accurately scoped planned and executed aligning with event timelines and operational requirements. Assist in logistics material assembly and mobilization planning.

Reporting directly to the Senior Technical & Logistics Manager the role works closely with service providers procurement teams and internal stakeholders to ensure the availability and distribution of technical assets from initial planning through to postevent demobilization.

Throughout the event mobilization phase the role manages the distribution and installation of equipment temporary structures and utilities ensuring seamless operations. This position also acts as a central point of communication with venue managers service providers and technical teams to guarantee that all logistics run smoothly risks are minimized and project deliverables are met.

Utilities and Infrastructure

  • Capture and analyze utility requirements for all events and services identifying gaps and additional needs.
  • Scoping utility requirements whether fixed or temporary depending on Equipment lists and layouts
  • Coordinate the planning and setup of temporary infrastructure including structures plumbing and power ensuring operational readiness.
  • Develop and manage the technical installation timelines in line with mobilization requirements.
  • Collaborate with service providers the Operations Team and event technical teams to scope the utilities and infrastructure required to fulfill the needs of all equipment provided by both supplier event sites or the company existing assets.

Asset Planning and Management

  • In collaboration with the Events Delivery and the Operations Team develop the assets management plan to ensure the availability of required furniture equipment and other materials in all projects and events and in accordance with Maps and Drawings legacy FF&E inventory lists.

Procurement and Contract Management

  • Support the Procurement Team by defining technical specifications Bills of Quantities (BOQs) and service needs for contract execution.
  • Assist in the procurement process of all technical materials and services ensuring specifications align with planning and operational goals.
  • Work closely with the Senior Technical and Infrastructure Manager to manage the administration of contracts ensuring all deliverables are met on time and within scope.

Warehousing and Distribution Planning

  • Develop and manage operational plans for the distribution of furniture equipment and materials ensuring efficient delivery to all event sites.
  • Oversee the planning for pickandpack operations sorting transportation and offloading of materials at each venue.
  • Collaborate with venue management and operations teams to identify appropriate storage and logistics spaces within the event site ensuring optimal utilization.

Stakeholder and Project Management

  • Act as the primary point of contact between the Event Organisers and the overlay and technical teams identify and provide all utility requirements and needs from existing utility provision or additional overlay provisions.
  • Lead meetings with service providers and stakeholders ensuring that project timelines and deliverables are met.
  • Manage key timelines and milestones for technical installations ensuring that progress is tracked and mobilization deadlines are adhered to.
  • Develop a sound and close professional relationship good understanding and synergies with all our contracted logistics service providers technical material suppliers Hospitality Divisions members as well as the operations and event delivery team members responsible for the specific operational planning design and contract management for all areas of the projects.
  • Regularly develop reports including issue logs and risk assessment to the Hospitality Division covering operational performance service delivery and any incidents ensuring continuous improvement and accountability.

Supporting ThirdParty Service Providers:

  • Provide technical and logistics support to Service Providers including Catering service providers (CSP) Guest experience service providers (GSP).
  • Liaise with contracted service providers to develop and manage master delivery schedules for events.
  • Monitor and assist thirdparty logistics operations ensuring compliance with project deliverables and objectives.
  • Ensure all critical logistics project deliverables are met in line with key objectives to minimize risk and make certain of a smoothly run logistics operation.

Mobilization & Bump In:

  • Supervision and coordination of furniture equipment catering heavy and light equipment installation testing and maintenance in conjunction with Byrom Consultancy LLC Operations team and chosen suppliers.
  • Support Venue Teams with the handover and hand back process of all Byrom Consultancy LLCs spaces on designated venue(s) at the start and finish of the Exclusive Use Period.
  • Ensure delivery and installation of all functions in line with the mobilization plan.
  • Ensure mobilization plans are updated and accurate.

  • Provide operations teams and venue teams with clear information on suppliers scope of works and resources.

General Event Operations

  • This position will be required to assist in overseeing the mobilization and installation operations for multiple events throughout the annual calendar ensuring smooth execution and coordination across various sites. This includes technical set up furniture & dcor installation branding installation and preparation of all back of house areas.
  • When on operation assist with supporting Event Teams to ensure services providers receive all necessary space infrastructure and access to fulfill their services as per each project planning. This includes supporting the complete handover and hand back of event spaces from official organizers and to and from the services providers.
  • Develop and maintain relationships with the event organizers and overlay team including the power and technical functions. Continue to identify the utility requirement and any additional overlay provisions.
  • Assist in managing issue resolution process handling crisis management swiftly addressing any operational challenges or emergencies to ensure minimal disruption to event proceedings.

Technical Installation and OnSite Coordination

  • Oversee the onsite installation of temporary infrastructure utilities and equipment ensuring all technical setups align with operational needs.
  • Coordinate with service providers and venue management to ensure all technical elements such as power plumbing and structure setups are fully operational and meet event standards.
  • Troubleshoot any technical issues that arise providing realtime solutions to ensure uninterrupted operations.

Logistics and Material Management

  • Support the Event Team on managing the distribution and setup of all furniture fixtures and equipment at event venues ensuring timely delivery and correct placement according to venue layouts.
  • Oversee warehouse operations during the event phase ensuring a smooth flow of materials from storage to operational areas. This includes pick and pack operations sorting orders assembling transportation according to distribution plan and arranging the smooth receipt and placing for storage at assigned areas at Venues.
  • Monitor stock levels and coordinate replenishments or replacements as required to maintain uninterrupted services.

Supplier and Service Provider Oversight

  • Ensure all service providers are onsite as scheduled and are fulfilling their contractual obligations related to logistics technical setups and operations supporting them on the Master Delivery Schedule plans.
  • Act as the central point of contact for service providers during the event ensuring efficient communication between the Operations Team and external suppliers.
  • Track supplier performance against key metrics and service levels addressing any noncompliance or performance issues promptly.

General

  • Until otherwise agreed this position is based in the Doha office (Qatar) but requires intermittent travel to the GCC region and potentially other countries.
  • This is an evolving position that will develop over time. The nature of our business is such that it may be necessary to amend or add the responsibilities and you may be required to perform other tasks that are allocated to you specific to the projects at hand.
  • Act in compliance with the companys contract terms policies and procedures.


Knowledge Skills and Experience

Essential Experience:

  • 35 years of experience in technical logistics management ideally in the hospitality industry with an indepth understanding of global sporting events logistics and security challenges.
  • Extensive knowledge and experience of the international major event catering industry with a particular focus on catering services logistics and technical production at international sporting events and stadium operations.
  • Strong understanding of utility management infrastructure coordination and technical logistics planning.
  • Ability to manage largescale distribution and warehousing operations including planning and execution.
  • Experience working with procurement teams developing BOQs and managing service provider contracts with knowledge in clear document control and file management.
  • Ability to lead technical installation projects ensuring ontime delivery within scope and budget.
  • Proficient in project management tools and systems with strong analytical and reporting capabilities.

  • Experience of working in Qatar or GCC region
