The Project Support Associate will play a crucial role in supporting our Firestopping & Thermal Team by managing daily communications tracking project progress and ensuring accurate documentation and billing. This position requires excellent organizational skills attention to detail and the ability to work collaboratively with various teams to resolve questions and issues promptly.
Key Responsibilities:
Daily Management of Emails:
- Monitor and manage emails being copied on all client communications.
- Assist in resolving questions and issues efficiently.
Weekly Followups:
- Track and follow up on pending Purchase Orders (POs).
- Manage Time & Material (T&M) tickets.
- Address items discussed in Work In Progress (WIP) meetings.
- Weekly Material Moves.
Monthly Followups:
- Oversee and follow up on pending Change Orders (COs).
- Compile information for the Production Tracker.
Account Management (AM) Support:
- Maintain and update todo lists for the AM team.
- Prepare writeups and submittals for review.
- Maintain logs for change orders pending tickets and pending POs.
Project Management (PM) Support:
- Collect monthly start dates from clients including site contact information end equipment needs.
- Track weekly tickets: Review timesheets to ensure all T&M work is submitted by the field team.
- Compile lookahead assist with scheduling and place orders to Purchasing as needed.
- Review production checks against estimates to ensure accuracy.
Billing:
- Review job performance by comparing estimates to actuals using green sheets to identify discrepancies and ensure accurate billing.
Work Schedule and Hours:
This position follows US Central working hours and days. Employees in Egypt/Jordan are expected to work from 4PM1AM Monday Friday.
