Your responsibilities will encompass the meticulous handling of all incoming and outgoing records to ensure smooth project operations.
Key Responsibilities:
You will ensure that all project-related documents and records are systematically indexed, filed, and archived according to established procedures and standards. This involves reviewing and processing a range of project documents, including drawings, specifications, correspondence, reports, and submittals, to guarantee administrative compliance.
Monitoring and controlling document revisions will be a crucial part of your role, ensuring that the latest updates are accessible to all project team members. You will also maintain accurate and up-to-date logs of project documents and records, which include transmittals, receipt confirmations, and distribution lists.
In addition, you will manage the electronic document management system (EDMS) and ensure its effective usage in line with established protocols. A significant aspect of your role will involve providing training and support to project team members regarding the EDMS and other document control tools, enabling them to operate efficiently.
Compliance with project requirements and relevant regulatory standards concerning document control is essential. You will assist in preparing various project document control reports and presentations as needed, supporting project management initiatives. Additionally, you will perform other duties as assigned by the Project Manager or other senior staff members.
Qualifications:
To be considered for this position, you should hold a Bachelor's degree in Business Administration, Information Management, or a related field. A minimum of five years of experience in document control within the construction, engineering, or a similar industry is required. You should have a strong understanding of document control procedures, processes, and tools, particularly with electronic document management systems (EDMS).
Expertise in Aconex is mandatory, and you should possess excellent communication, organizational, and analytical skills. The ability to work both independently and collaboratively in a dynamic, deadline-driven environment is crucial. Proficiency in Microsoft Office, especially in Word and advanced Excel functions, is expected. Familiarity with project management software, such as Primavera or Microsoft Project, is a desirable asset.
