Job Summary:
We are seeking a highly organized and proactive Administrative Assistant to support our Hope Carpenter Ministries Director. The ideal candidate will be responsible for performing various administrative tasks. This role requires a high level of discretion excellent communication skills and the ability to manage multiple priorities in a fastpaced environment.
Key Responsibilities:
Maintain office supplies inventory by checking stock levels and ordering new supplies as needed.
Handle incoming and outgoing mail emails and other correspondence.
Prepare and edit documents reports and presentations as needed.
Input update and maintain data in company databases and spreadsheets with accuracy.
Generate and distribute regular reports summaries and presentations based on data.
Schedule and coordinate meetings appointments and events ensuring all logistics are handled.
Assist with special projects and initiatives including research data collection and coordination of tasks.
Serve as the primary point of contact for the Director screening and directing phone calls emails and other correspondence.
Prepare and edit documents presentations and reports for the Director.
Coordinate and organize meetings including preparing agendas taking minutes and following up on action items.
Assist in the preparation of presentations and other materials for meetings and events.
Handle confidential information with discretion and maintain the highest level of professionalism.
Manage the Directors expense reports and ensure timely submission and reimbursement.
Process expense reports invoices and purchase orders ensuring timely submission and payment.
Organize and maintain the Directors files both electronic and paper ensuring easy retrieval of information.

Ensure compliance with company policies and procedures as well as legal regulations.
Qualifications:
High school diploma or equivalent; an associate degree or higher is preferred.
Proven experience as an administrative assistant executive assistant or in a similar role supporting senior management.
Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and office management software.
Exceptional organizational and time management skills with the ability to prioritize tasks and meet deadlines.
Strong written and verbal communication skills.
Ability to handle sensitive information with a high degree of confidentiality.
Professional demeanor and the ability to interact effectively with all levels of the organization.
Ability to work independently and take initiative.
Attention to detail and problemsolving abilities.
