Overview:

University of Doha for Science and Technology (UDST) is the first national applied University in the State of Qatar offering applied Bachelors and Masters degrees in addition to certificates and diplomas in various fields. The Human Capital Directorate invites applications for the position of People Analyst.

Responsibilities:

Reporting to the Director Human Capital the successful candidate will provide highly skilled people analytics administrative and office support to the line management as well as to the overall Human Capital team to facilitate daytoday operations smoothly and efficiently. Ensure seamless flow of activities followup with relevant employees business units and the effective delivery of assigned tasks. The successful candidate will collect analyze and apply talent data to improve critical talent and business outcomes.


The successful candidate will assist the Director HC to develop datadriven insights to inform talent decisions improve workforce processes and promote positive employee experience and provide administrative and secretarial support to the Director Human Capital while reflecting a professional image of the organization in personal and phone interactions.


The successful candidate will maintain appropriate confidentiality in performing the duties and represents the company with a professional demeanor and serve as the key contact person for external inquiries via phone emails and visits and ensure they are responded to with required information or directed to the Director Human Capital as required.


The successful candidate will screen evaluate incoming and outgoing correspondence and prepare response as appropriate. Simultaneously handle internal and external customer needs and inquiries provide research best practices data retrieval respond and follow up to requests. Monitor and track type of requests and ensure timely resolution.


The successful candidate will organize the office layout and maintain supplies of stationery and equipment; maintain the condition of the office and arrange for necessary repairs. Arrange regular testing for electrical equipment and safety devices and comprehend health and safety policies and ensure theyre observed. Liaise with HSSE team to ensure adherence across UDST.


The successful candidate will use a range of software including email spreadsheets and databases to ensure the efficient running of the office. As well as check that data protection laws are being adhered to in relation to the storage of data and review and update policies.


The successful candidate will create compose and edit technical and/or administrative correspondence and documentation; prepare a variety of technical statistical financial and narrative report letter memo and other written correspondence and material. In addition monitor and ensure HC budget is being maintained properly; manage and input purchase requisitions consistently record office expenditure regularly audit expenses make payments and secure HC resources as needed.


The successful candidate will assist in the coordination control and completion of special projects as requested. Also maintain physical and electronic office filing systems for Director Human Capital and establish and maintain organized and efficient files and records for the Office; gather enter and/or update data to maintain records files and database as appropriate.


The successful candidate will be responsible for the administration security confidentiality and retention of office files and ensure that the office maintains full backup of all data compile the documents for filing and maintain and secure files to protect confidential information.


The successful candidate will organize and facilitate meetings conferences and special events as requested; schedule and coordinate dates and times venue attendance agenda and facilities; take minutes and provide administrative support and followup on matters arising from meetings. At the same time provide support for associated activities to include managing the schedule/calendar making travel arrangements screening and handling telephone communications greeting and directing visitors and dealing with administrative problems and inquiries as appropriate.


Qualifications:

Education and Certifications:

Bachelors degree is required in Administration Management or related field is required.


Experience:

Minimum 5 years of experience in Administrative Support is required preferably in an educational institution.


Language:

Fluency in written and spoken English language is required

Fluency in written and spoken Arabic language is preferred


Other Required Skills


Analytical Thinking and Problem Solving Concern for Order and Quality Teamwork and Collaborative Working and Time Management skills are required.
