Position Title: Event Assistant
Location: Jersey City NJ
Reports To: Event Manager
Employment Type: FullTime

Job Summary:

We are seeking a highly organized and energetic Event Assistant to join our team. The successful candidate will assist in the planning coordination and execution of various events ensuring each one runs smoothly and efficiently. This role requires excellent communication skills attention to detail and the ability to work well under pressure.

Key Responsibilities:

  • Event Planning and Coordination:

    • Assist in the development and implementation of event plans and timelines.
    • Coordinate logistics including venue booking catering audiovisual equipment and transportation.
    • Support the preparation of event materials such as invitations agendas and promotional items.
  • OnSite Event Management:

    • Set up and break down event spaces.
    • Provide onsite support during events including registration attendee assistance and vendor coordination.
    • Ensure all events run smoothly and address any issues that arise promptly.
  • Administrative Support:

    • Maintain event databases and records.
    • Assist in budget tracking and expense reporting.
    • Handle general administrative tasks such as scheduling meetings preparing reports and managing correspondence.
  • Communication and Marketing:

    • Assist in the creation and distribution of marketing materials and event promotions.
    • Maintain effective communication with clients vendors and team members.
    • Manage social media updates and other eventrelated communications.
  • PostEvent Activities:

    • Collect and analyze feedback from attendees and stakeholders.
    • Assist in creating postevent reports and evaluations.
    • Participate in debrief meetings to discuss event outcomes and improvements.

Qualifications:

  • High school diploma or equivalent; Bachelor’s degree in Event Management Hospitality Marketing or related field preferred.
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint).
  • Ability to work well under pressure and handle multiple tasks simultaneously.
  • Customer service orientation with problemsolving skills.
  • Flexibility to work evenings weekends and travel as needed.
