Your missions
The Office Coordinator will be supportingall tasks related to office management.
The person will be in charge of:
- Warmly welcoming clients and managing telephone calls to relay accurate messages.
- Handling incoming and outgoing mail including coordination with DHL and courier services.
- Ensuring daily office maintenance for a safe and clean reception and common areas.
- Overseeing the reservations of meeting rooms and ensuring proper setup including drinks brochures and technology.
- Managing the procurement of supplies lunches groceries etc.
- Validating and uploading vendor invoices.
- Establishing effective communication with suppliers vendors the landlord and the maintenance team.
- Serving as the primary contact for IT matters and collaborating with our Benelux IT team.
- Coordinating with business services teams from other international offices including marketing compliance IT and finance teams.
- Handling filing and archiving responsibilities.
- Assisting in the onboarding and offboarding processes of staff members.
- Contributing to the organization of office events.
- Providing support to team members for ad hoc requests.
- Acting as a backup for the Office Manager.
Your ideal profile
- 1 to 2 years experience in a similar position
- Fluent in French and English German knowledge will be considered as an asset
- Proficient in Microsoft Pack (Word/Excel/ PowerPoint/Outlook)
- Proactive dynamic highly organized teamspirit and rigorous
- Excellent communication skills
