Job Description: We are looking for a competent and organized Office Incharge to oversee the smooth and efficient operation of our office. The Office Incharge will be responsible for managing administrative tasks supervising support staff and ensuring that office procedures are followed effectively. The ideal candidate will have strong leadership skills excellent communication abilities and a proactive approach to problemsolving. This role requires someone who can multitask effectively and prioritize tasks to meet deadlines while maintaining a positive and professional office environment.

Responsibilities:

  • Supervise and coordinate administrative activities including but not limited to office supplies procurement mail distribution and facilities maintenance.
  • Manage and train administrative support staff including receptionists clerical staff and office assistants.
  • Develop and implement office policies and procedures to ensure efficient workflow and compliance with company standards.
  • Oversee scheduling and coordination of meetings appointments and travel arrangements for staff and management.
  • Maintain office records and files both electronic and physical ensuring accuracy and confidentiality.
  • Monitor and manage office budgets and expenses identifying costsaving opportunities where possible.
  • Serve as a point of contact for internal and external stakeholders addressing inquiries and resolving issues in a timely and professional manner.
  • Coordinate with IT support to ensure the availability and functionality of office equipment and systems.
  • Conduct regular inspections of the office environment to ensure cleanliness safety and compliance with health and safety regulations.
  • Stay informed about industry trends and best practices in office management and administration.

Qualifications:

  • Bachelor's degree in Business Administration Office Management or related field preferred.
  • 3 years of experience in office administration or management roles.
  • Strong leadership and interpersonal skills with the ability to motivate and inspire a team.
  • Excellent organizational and time management abilities with a keen eye for detail.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Ability to handle confidential information with discretion and professionalism.
  • Strong communication skills both written and verbal.
  • Ability to multitask and prioritize tasks in a fastpaced environment.
  • Knowledge of health and safety regulations and compliance requirements.
  • Experience working in a professional services environment is a plus.
